Job description

The City of Johnson City, Tennessee is accepting online applications for a Box Office Assistant with the Freedom Hall Civic Center. The employee performs responsible clerical work in the area of accounting and records keeping related to ticket sales; balances daily receipts of cash, checks and credit cards; prepares daily deposits; performs related duties as required. Work in this class involves the use of accounting principles, procedures and methods. Employees within this class work within broadly defined administrative support services. A considerable amount of contact with the diverse backgrounds of the general public to give an exchange of information, provide service and solve problems is involved in the work of this class. Employees in this position are responsible for processing large sums of money and/or event tickets. The employee is under the supervision of the Box Office Manager.
Essential Functions of Position:
  • independently meets the public selling tickets and providing event information over the telephone, in person, and over the internet requiring knowledge of City and department policies and procedures;
  • logs all invoices
  • works closely with communications and IT for departmental and show needs.
  • works with Event promotes regarding special promotions and sales for events.
  • works with Director and BO Manager to help develop a sponsorship opportunities for Freedom Hall.
  • assists with Calendaring for Freedom Hall
  • daily in and out counts of the box office seller drawers and safe as required.
  • deals with the public in a cooperative manner;
  • balances cash and credit card sales;
  • processes ticket orders received in person or by telephone, mail, or internet;
  • maintains a variety of reports specific to functions of the provision of services of the Box Office (deposits, ticket sales, and miscellaneous income) and customer relations;
  • prepares, organizes and enters event information into the facility's even booking internet calendar and city websites;
  • work with various software applications to create pricing and information sheets and diagrams for use by temporary/seasonal employees, show promoters, ticket outlets and general public;
  • trains and supervision of temporary/seasonal Box Office staffing;
  • assists Box Office Manager in posting data from daily sales reports to computer files and completing promoter ticket counts;
  • serves as a representative of the Box Office Manager as delegated, in contact with other employees, show promoters, officials and the general public;
  • assists Box Office Manager in the handling of patron complaints, promoter requests and operational decisions;
  • resolves event-related problems with ticket sales and patron seating;
  • deals with multiple levels of problem-solving for patrons;
  • prepares and updates patron mailing lists and databases for use by the facility and show promoters;
  • answers telephone inquiries and directs to appropriate personnel or resolves personally;
  • distributes incoming mail;
  • maintains Box Office supply inventory;
  • prepares on the computer a wide variety of documents appropriate to department operations;
  • makes recommendations on software/hardware purchases;
  • utilizes a variety of standard office equipment and software applications in performance of tasks;
  • may prepare special assignments involving more complex tasks such as preparing diagrams, charts, signs, etc.;
  • assists Box Office Manager and Director on special projects;
  • requires working extended hours - nights, weekends, holidays;
  • performs additional functions as required at the direction of Box Office Manager and Director or as needed.

Required Knowledge, Skills and Abilities: General knowledge of accounting principles as well as knowledge of office methods, procedures, and equipment operations; ability to apply City and department policy in work situations; competent knowledge of computes and skills to operate equipment for data entry and retrieval; ability to maintain accurate records; ability to establish and maintain effective working relationships with coworkers, the general public and facility lessees; to deal with public relations issues courteously and tactfully; manual dexterity required for the efficient use of office equipment and computers; able to sit or stand for extended periods of time.
Acceptable Experience and Training: Minimum high school diploma or equivalent; supplemental courses in accounting techniques and computers are desired; above average oral and written communication skills; an equivalent combination of usage customer service experience and education that provides the necessary knowledge, skills and abilities is desirable.
