Position Highlights
The Coordinator, Tours and Visitor Experience leads all aspects of campus visits to the University of Arizona, ensuring prospective students and families experience a highly personalized, welcoming, and informative campus visit. This role manages and develops the Arizona Ambassador student staff, building a team of tour guides to execute a concierge-level experience for all prospective, admitted, group, and VIP campus tours.
The Coordinator creates and follows standard operating procedures to ensure a consistent, effective, and efficient campus visit program in coordination with supervisor. This role constantly evaluates and assess campus visit outcomes and data, reporting to their supervisor and other Office of Admission and Enrollment Management leadership progress towards goals, and needs of the visit program.
Note: This role's schedule is 40 hours/week Tuesday - Saturday, ensuring seamless coverage of the Wildcat Welcome Center for Saturday operations, with an adjusted weekend of Sunday - Monday.

Duties & Responsibilities
Campus visit program coordination (45%):
Lead all aspects of the campus tour, group tour, and VIP tour program including scheduling and logistics. Create and maintain the Office of Admission visit calendar through designated CRM (Technolutions Slate), using data informed decision making in coordination with supervisor to build an appropriate schedule.
Organize private and VIP visits, ensuring a high level of personalization and attention to detail. Ensure appropriate staffing, transportation and unique experiences are available for a variety of VIP levels. Collaborates with all University units and external partners to deliver integrated services and ensure add-on experiences compliment the campus visit to allow for guests to tailor their visit experience to meet their needs and departmental goals.
Arizona Ambassador supervision (30%):
The Coordinator, Tours and Visitor Experience, is responsible for the successful oversight of Arizona Ambassador student staff. This role hires, trains, supervises, evaluates, and supports the continued development of the Ambassador student staff, indirect supervision of other Enrollment Management student staff, and supports the execution of their work in the Wildcat Welcome Center. Monitors performance and holds staff accountable. Mentors student staff to foster their professional growth and ensure high standards of operation. Coordinate with all student managers for Enrollment Management and ensuring proper staffing for all departmental priorities.
Reporting and assessment (15%):
Ensures accurate reporting needs are in place and at work for all programmatic efforts of the Campus Visit. Regularly reports progress and activities to supervisor. Maintain accurate records and provide regular reports on visitor engagement and satisfaction, using data to inform a solutions-oriented approach to continuous Campus Visit program improvement in coordination with supervisor, and other Enrollment Management leaders.
Admission counseling (10%):
Advises and counsels prospects, applicants, and incoming students on University admissions policies, procedures, and requirements by periodically serving as admissions counselor on duty to assist with questions both virtually and in-person. May include assistance with Customer Service, Campus Events, Recruitment travel, or any aspects of Enrollment Management in coordination with supervisor.
Knowledge, Skills, and Abilities:
  • Excellent customer service, communication, and organizational skills.
  • Ability to quickly assess guest needs and seek appropriate next steps.
  • Ability to work collaboratively with staff members across the Office Admission, Enrollment Management, and the University of Arizona.
  • Ability to follow laws and guiding principles of recruitment work, including FERPA regulations.

Physical and Environmental Requirements:
  • Must be able to lift boxes/materials up to 20 pounds.
  • Works in a large and busy welcome center environment.

Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of 3 years of relevant work experience, or equivalent combination of education and work experience.
  • Fingerprint clearance required and to be completed once hired.

Preferred Qualifications
  • Experience in customer service, event coordination, or higher education.
