Job description

Job purpose

The Logistics Coordinator is responsible for coordinating the end-to-end flow of raw materials and finished goods in a high-volume food and beverage operation, ensuring timely and accurate processing of orders, shipments, and inventory transactions to meet Just-In-Time delivery requirements. The position supports high-velocity logistics operations and shipments to and from large retailers and distribution centers with complex regulatory and customer-specific requirements. The role requires strong organizational skills, sound judgment, real-time problem-solving, and the ability to operate independently while managing competing priorities across production, customer, and carrier demands.

Duties and responsibilities

  • Coordinate end-to-end movement of raw materials and finished goods across a fast-paced food & beverage supply chain, ensuring on-time delivery to tight JIT windows
  • Process customer purchase orders and build accurate sales orders for the shipping team, verifying SKUs, quantities, lot/date codes, ship dates, routing guides, and customer-specific compliance requirements
  • Schedule and dispatch inbound and outbound freight, including customer pickups, raw material deliveries, and cross-dock transfers; proactively reschedule when production timing or carrier availability shifts
  • Anticipate and resolve disruptions in real time, late carriers, short shipments, temperature excursions, weather delays, dock congestion, and communicate impact and recovery plans to stakeholders before they ask
  • Partner closely with procurement, production planning, warehouse, QA, and sales to keep order flow synchronized with production schedules and customer commitments
  • Manage EDI transactions and routing guide compliance for large retailers and distribution centers; resolve chargebacks, exceptions, and ASN issues quickly to protect customer scorecards
  • Maintain accurate order, shipment, and inventory records in NetSuite (or comparable ERP); investigate and reconcile discrepancies same-day whenever possible
  • Serve as the primary point of contact for logistics inquiries from customers, vendors, carriers, and internal teams, providing fast, clear, and accurate answers
  • Build and manage strong working relationships with carriers, freight forwarders, and 3PL partners; track performance and escalate service issues
  • Ensure shipments meet food-grade transportation requirements, including cold chain, FSMA Sanitary Transportation Rule, allergen controls, and customer-specific documentation
  • Identify recurring bottlenecks and recommend process improvements that reduce cycle time, freight cost, or error rates
  • Complete other duties and special projects as assigned

Qualifications

  • 3+ years of logistics, supply chain, or order management experience. Food & beverage or other perishable / time-sensitive industry strongly preferred
  • Self-starter who takes ownership of their day, comfortable making sound decisions and keeping work moving between check-ins; builds personal systems and workflows that align with established team best practices
  • Quick learner, picks up food & beverage logistics fundamentals during onboarding and continues to master customer-specific requirements (routing guides, EDI mapping, scorecards, compliance nuances). On the job; training, mentorship, and team support are provided, but the role moves fast and rewards initiative
  • Comfortable with variable, scenario-driven work, no two days look the same, and the right person identifies the need and provides the solution in real time
  • Works calmly under pressure and manages competing priorities in a fast-paced, deadline-driven environment without losing accuracy
  • Real-time problem-solver who diagnoses root cause, weighs trade-offs, and executes a solution with incomplete information rather than escalating it back up the chain
  • Working knowledge of JIT logistics
  • Experience coordinating shipments to large retailers, distributors, or co-manufacturers, including routing guide and EDI compliance (TrueCommerce, SPS Commerce, or similar)
  • Proficiency in Microsoft Office 365 (Excel, Outlook, Word, Teams). Advanced Excel skills (pivot tables, lookups, basic formulas) strongly preferred
  • Experience with ERP systems, NetSuite preferred
  • Excellent written and verbal communication; able to flex tone from a driver on hold to an executive on a customer escalation
  • High ownership, sound judgment, dependability, and a calm, professional demeanor when things go sideways
  • Bilingual (English/Spanish) skills preferred but not required
