Health Aid of Ohio (HAO) is a federal supplier and service provider of home healthcare products. We are committed to safely providing our clients with mobility, home accessibility and vehicle accessibility. Our products include a wide selection including power and manual wheelchairs, walkers, bathroom safety equipment, ramps, vertical lifts, stair lifts and vehicle lifts.
Position Overview:
The Customer Service Representative is responsible for performing tasks relative to scheduling, order tracking and communication with patients/clients and the VA. This position reports directly to the Customer Service Manager.

Responsibilities:
  • Assisting in day-to-day operations: scheduling appointments, returning calls, responding to inquiries, verifying all required paperwork is provided by delivery pickup repair staff, monitoring communications from customers, creation of files for delivery/ service
  • Ensure all messages have been retrieved and return calls made
  • Update notes in website; contact VA purchasing agents by phone and email as needed
  • Order all parts that were approved by the VA; data enter all PO's for parts ordered; charge up PO's in TIMS once parts are ordered; deplete inventory on patient order
  • Schedule deliveries and pickups with the patient as needed
  • Enter orders on website for all rehab orders received from the VA
  • Forward rehab orders to purchasing to be ordered and update website
  • Assist with obtaining quotes for Rehab
  • Assist with scheduling Rehab evaluations and deliveries
  • Works open order reports, open scheduled and equipment receive reports
  • Assists with resending open work orders and resolution of issues
  • File away all completed orders; place all files in designated locations, by status in active file drawer
  • Check work area to ensure that files are not exposing patient information
  • Complete daily status report
  • General office duties and other tasks as needed
  • Responsible for any additional assignments requested by the Customer Service Manager, President or any other Manager
  • Regular attendance is a necessary and essential function of the job
  • Must complete 10 hours of continuing education credits, relevant to this position

Minimum Qualifications:
  • Graduate from an accredited High School, or GED equivalent
  • Excellent communication/phone and customer service skills
  • Previous data entry experience
  • Typing and ten key skills
  • Proficient knowledge in the Microsoft Office Professional Suite
  • Detail Oriented
  • Problem Solver
  • Ability to multitask
  • Must be able to read and speak English fluently
  • Responsible and cooperative attitude
