Job description


Position Summary
We are looking for a proactive and enthusiastic self-starter to join our team! The Project Coordinator is responsible for providing support to project teams. This may include data entry, reporting, and general office and administration duties to support both job sites and main office activities.
Position Details
  • Assembles and tracks subcontracts, change orders, insurance certificates, billings, lien releases, and certified payroll from subcontractors.
  • Archives files and drawings.
  • Ordering, tracking & calling off rental equipment
  • Project closeout - billing, archive files and drawings, upload documentation, share lessons learned.
  • Assists Project Managers in tracking and creating daily field reports.
  • Support the union onboarding processes, including completing forms, ordering IT equipment, scheduling orientations, troubleshooting, and preparing first-day materials.
  • Facilitate cross-functional team meetings and coordinate logistics.
  • Oversee trailer office and break areas, including ordering supplies, coordinating vendors, and scheduling maintenance as required.
  • Manage company swag inventory and distribution.
  • Plan and host employee activities, community engagement, and team-building activities.
  • Perform additional administrative duties as needed to support division operations.
  • Create and maintain weekly, monthly, and quarterly reports
  • Assists in setting up projects and mobilization/demobilization
  • Log safety certifications

Qualifications
  • Associate's degree (A.A.) or equivalent from a two-year college or technical school, or six months to one year of relevant experience and/or training, or an equivalent combination of education and experience.
  • Minimum of 5 years' experience in an administrative role
  • Strong proficiency with Microsoft Office
  • Exceptional organizational skills and strong attention to detail.
  • Excellent written and verbal communication skills.
  • Capable of prioritizing tasks and handling multiple responsibilities.
  • Strong event planning and organizational abilities.
  • Ability to build and maintain positive working relationships across teams and departments
