Job description

Executive Assistant (Personal & Business Assistant)

About the role We are looking for a sharp, dependable right hand to help run the business side of two growing organizations — Healthcare offices in (Laurelhurst & Magnolia) and a mobile clinic — plus a personal wellness retreat project on the side located in Woodinville. This is a hybrid role: equal parts behind-the-scenes operator and in-person team energizer.

What you'll do

  • Handle monthly bill pay and payroll across both businesses
  • Manage and update wellness retreat website, plus its related bills/subscriptions
  • Coordinate and help run meetings with corporate partners
  • Visit the offices 1–2x/week — bring snacks, bring good energy, be a friendly presence for the team
  • Check in regularly with doctors and dental assistants to make sure nothing's falling through the cracks
  • General admin support as things come up

What we're looking for

  • Organized, proactive, and comfortable juggling finance tasks and people tasks in the same week
  • Basic comfort with bookkeeping/payroll tools and simple website edits (Squarespace/Wix-type platforms)
  • Warm, outgoing — someone who genuinely likes walking into a room and lifting the mood
  • Trustworthy with financial and confidential information
  • Reliable transportation for office visits
  • Background check

Good to have

  • Experience in a small business or healthcare office setting, Google sheets and drive
  • Familiarity with QuickBooks or similar payroll/accounting software
