Position Summary Information
Primary Purpose
Under the general supervision of the Director, Building Operations, primarily responsible for ensuring daily facility readiness through consistent inspection, proactive identification of issues and coordination with the team to maintain safe and fully operational environments. The role oversees the preventative maintenance program, event operation support, department supply and materials orders, contracted services and projects for the School of Dentistry.

Essential Functions
  • Perform daily building inspections to proactively identify and resolve deficiencies, improving operational responsiveness and supporting preventative and predictive maintenance.

  • Oversee maintenance and operations decisions regarding repairs and replacements; schedule and manage equipment shutdowns for regular maintenance, including working with vendors and contractors.

  • Manage building operations team to support all scheduled events and exams from planning to execution optimizing engagement and successful outcomes.

  • Assist with the development, maintenance, and implementation of the capital equipment replacement plan; make recommendations regarding replacement of capital equipment.
  • Manage a web-based work order/maintenance management system.

  • Develop and maintain administrative and operational policies and procedures manuals and standard operating procedures for use of clinical and mechanical equipment.

  • Analyze training needs for department and oversee staff training and participation in on-going technical training; develop in-house training modules.

  • Collaborate with Director of Building Operations to prepare annual departmental budget.

  • Act as Director of Building Operations in the absence of the Director.

  • Perform all other duties assigned by the Director, Building Operations.

Minimum Qualifications
Knowledge of:
  • Facilities maintenance equipment and practices.
  • Building and fire codes.
  • OSHA Regulations
  • Haz-mat guidelines.
  • Project management and principles.
  • Budget planning and management.
  • Intermediate Microsoft Office Suite (Word, Excel, Access, and Outlook),
  • Building management systems or CMMS systems.

Experience:
  • Minimum of five years' administrative experience in facilities.
  • Minimum of three years of prior manager/supervision experience.

Education:
  • High school diploma or equivalent.

Working Conditions:
  • Position is full-time, 8 hours per day, 5 days per week.
  • Occasional travel may be required.
  • May require occasional evening or weekend shifts.
  • May require response to emergencies after hours or on weekends.
  • Occupational exposure to bloodborne pathogens may be reasonably anticipated. Personal protective equipment will be provided to reduce or eliminate exposure to routine or limited infectious agents.

Preferred Qualifications
Experience:
  • Experience in a higher education environment preferred.
  • Previous experience in a supervisory or lead role helpful.

Ability to:
  • Exercise independent judgment and discretion.
  • Work with a minimum of supervision.
  • Manage time and set priorities to meet deadlines.
  • Respond quickly to emergencies or unanticipated repairs and maintenance requirements with minimal effect on academic/clinic operations.
  • Demonstrate initiative in the development, organization and maintenance of departmental procedures.
  • Communicate tactfully, courteously and effectively with faculty, staff, students and the public.
  • Project a professional image and maintain professional composure and demeanor.
  • Maintain confidentiality of information.
  • Work effectively and accurately with multiple interruptions.
  • Develop professional letters, reports, and email correspondence.

Education:
  • Bachelor's degree in business administration, facilities management, or related field preferred.

  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.
