Position Summary

Behind every smooth client experience is someone who made it look easy. That's this role. As our Client Service Associate, you'll own the operational engine of the firm: opening new accounts, moving assets and money securely, and keeping every client record accurate and current. You'll work daily in Fidelity and Schwab's advisor platforms and our CRM (Wealthbox), making sure every transaction is right, on time, and fully documented.


This is a behind-the-scenes operations role — not an advisory or sales position — based in our Reston, VA (Northern VA) office. You'll report to our Client Service Manager and work hand-in-hand with our advisory team, who will know your name and appreciate your work. When you catch the error nobody else saw, people here notice.


What You'll Do

  • Open new client accounts and shepherd them from paperwork to funded, using Fidelity Wealthscape and Schwab Advisor Center
  • Manage account transfers (ACATS) and rollovers from start to finish — tracking progress, clearing hold-ups, and keeping things moving
  • Process wire transfers, journals, ACH transactions, and distributions with care, following our verification and security protocols
  • Keep client accounts current: beneficiary updates, address and registration changes, banking instructions, and document management
  • Run our operational workflows in Wealthbox CRM, logging client interactions and service activity so nothing falls through the cracks
  • Monitor daily custodial alerts and either resolve them or raise your hand — you'll never be left guessing
  • Respond to routine client requests by phone and email with warmth and professionalism
  • Meet regularly with your manager to prioritize the week, share status, and flag anything that needs attention
  • Spot ways to make our processes better — and speak up. We run on a structured meeting rhythm where every team member's ideas get heard and acted on


What You Bring

  • Required1+ years of financial services operations experience, ideally at an RIA, wealth management firm, or broker-dealer
  • Experience across both back-office and front-office operations for a financial advisory firm
  • Exceptional attention to detail — you're the person who catches it before it becomes a problem
  • Strong organizational, written, and verbal communication skills
  • A genuine team player who communicates proactively
  • Proficiency with Microsoft Office/365
  • Bachelor's degree
  • Ability to pass a background check


Nice to Have

  • Hands-on experience with Fidelity (Wealthscape) and/or Schwab (Advisor Center)
  • Experience with Wealthbox or a comparable advisor CRM
  • Familiarity with MoneyGuidePro, Tamarac, or DocuSign
  • Bachelor's degree in business, finance, or a related field
  • Series 65 — a plus, not a requirement (we'll sponsor you if you want to earn it)

Compensation & Benefits

  • Base salary of $55,000–$75,000, based on experience
