Summary
As a Client Services Specialist on our Wealth Management team, you will be responsible for delivering exceptional operational support to advisors and clients by managing account requests, resolving service issues, coordinating with custodians and internal teams, and ensuring a seamless client experience. This role requires strong relationship management, organization, attention to detail, and the ability to thrive in a fast-paced, client-focused environment while providing responsive, high-quality service.
Primary Responsibilities
  • Deliver accurate and timely service to advisors and clients with a "one contact resolution" mindset.
  • Take ownership of client issues and see them through to resolution.
  • Serve as the primary liaison between advisors, clients, custodians, and Operations.
  • Provide operational support, including account openings, maintenance, monetary requests, and paperwork processing.
  • Prioritize and manage multiple advisors and client requests across email, Microsoft Teams, phone, and CRM while meeting service level expectations.
  • Resolve complex operational issues by collaborating with custodians and internal teams, escalating when needed, and communicating progress to advisors and clients.
  • Utilize CRM platforms (e.g., Wealthbox) and reporting tools (e.g., Addepar) to manage client cases, track workflows, and maintain accurate documentation.
  • Demonstrate empathy, professionalism, and strong attention to detail in all client and advisor interactions.
  • Build trusted relationships with advisors, clients, and team members through responsive, personalized service.
  • Contribute to a collaborative team environment by supporting teammates, assisting with training, and providing coverage when needed.
Qualifications
  • 1–5+ years of experience in the finances services industry with custodian and client-facing service experience preferred.
  • Strong knowledge of industry operations and custodial processes (Charles Schwab experience preferred).
  • Experience with CRM and reporting platforms; experience with Wealthbox and Addepar is a plus but not required.
  • Proficiency in Microsoft Office applications. Experience with advanced Microsoft Excel functions is a plus.
  • Excellent organizational, problem-solving, and critical thinking skills with the ability to manage multiple priorities.
  • Ability to work independently and collaboratively in a fast-paced, client-focused environment.
