Job description

Position Summary

Gabrielli Truck Sales is seeking a detail-oriented and experienced Warranty Manager to oversee all aspects of warranty administration across our service operations. This role is responsible for ensuring accurate and timely submission of warranty claims, maximizing warranty recovery, and maintaining compliance with OEM guidelines (Mack, Volvo, Paccar). The ideal candidate will work closely with service, parts, and accounting departments to streamline processes and improve overall efficiency.

Key Responsibilities
  • Manage and oversee the complete warranty claim process from initiation through payment and reconciliation
  • Review and submit warranty claims to manufacturers including Mack, Volvo, and Paccar in a timely and accurate manner
  • Ensure compliance with all OEM warranty policies, procedures, and documentation requirements
  • Audit repair orders and supporting documentation to validate warranty coverage and claim accuracy
  • Monitor claim status, follow up on outstanding submissions, and resolve rejected or underpaid claims
  • Maintain detailed records of all warranty activity, including credits, debits, and adjustments
  • Work closely with Service Managers and Advisors to ensure proper coding, story writing, and documentation for warranty claims
  • Identify trends in warranty issues and provide feedback to improve service processes and reduce claim denials
  • Train and support service and administrative staff on warranty procedures and best practices
  • Reconcile warranty receivables and coordinate with the accounting department on discrepancies
  • Ensure timely processing of warranty parts returns in accordance with OEM requirements
Qualifications
  • 3+ years of experience in warranty administration, preferably in the heavy-duty truck or automotive industry
  • Strong knowledge of OEM warranty systems (Mack/Volvo/Paccar experience preferred)
  • Familiarity with dealership management systems (e.g., Karmak/ADP/CDK or similar)
  • Excellent attention to detail and organizational skills
  • Strong analytical and problem-solving abilities
  • Effective communication skills with the ability to work cross-functionally
  • Proficient in Microsoft Office, especially Excel
Preferred Skills
  • Experience in a multi-location dealership environment
  • Understanding of service operations, repair order flow, and technician documentation
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
