SUMMARY OF POSITION

The Warehouse, Shipping & Receiving Coordinator oversees daily warehouse, shipping, receiving, inventory, and material-handling activities to ensure accurate inventory, efficient material flow, and on-time shipments. The role collaborates with multiple departments, resolves material and shipping discrepancies, maintains required documentation, ensures compliance with safety and company procedures, and supports continuous improvement and cost-reduction initiatives.

RESPONSIBILITIES

  • Lead and coordinate the daily activities of a warehouse team of approximately 5–8 employees, including assigning work, establishing priorities, and monitoring completion of assigned tasks.
  • Provide day-to-day coaching, guidance, training, and feedback to warehouse employees; identify performance or training concerns and escalate issues to management as appropriate.
  • Coordinate daily warehouse, shipping, receiving, inventory, and material-handling activities to support production schedules and customer requirements.
  • Oversee the accurate receipt of incoming materials, including verification of quantities, part numbers, purchase orders, packing slips, labeling, and required documentation.
  • Coordinate outbound shipments to ensure orders are accurately picked, packed, labeled, documented, and shipped according to customer and delivery requirements.
  • Prepare and maintain shipping and receiving documentation, including packing lists, bills of lading, carrier documentation, and applicable import/export records.
  • Coordinate with freight carriers and transportation providers regarding pickups, deliveries, shipment status, service issues, and transportation requirements.
  • Monitor material availability and communicate shortages, discrepancies, delays, or other issues that may affect production schedules, customer orders, or On-Time Delivery (OTD).
  • Maintain accurate inventory records by ensuring receipts, transfers, issues, returns, and other material movements are properly recorded in the ERP/MRP system.
  • Conduct and coordinate cycle counts, reconcile physical inventory against ERP records, investigate discrepancies, and support root-cause analysis and corrective actions.
  • Coordinate the picking, staging, storage, and movement of materials between warehouse locations, stockrooms, and production areas to ensure efficient material flow.
  • Work closely with Production, Planning, Purchasing, Quality, and Customer Service to resolve material, inventory, shipping, and receiving issues.
  • Train and cross-train warehouse employees on shipping, receiving, inventory control, ERP transactions, material handling, safety procedures, and departmental work instructions.
  • Promote and enforce compliance with warehouse procedures, safety requirements, proper material-handling practices, company policies, and 5S standards, while identifying opportunities to improve workflow, inventory accuracy, and operational efficiency.
  • Monitor daily warehouse performance and assist management with staffing needs, operational metrics, employee performance concerns, continuous improvement initiatives, and other duties or projects as assigned.


QUALIFICATIONS

  • High school diploma or equivalency with CPIM and/or CPM certification –or- High school diploma or equivalency with 3 years of warehouse/shipping and receiving and logistics experience.
  • Practical working knowledge of Lean Manufacturing principles, including 5S, Just-in-Time (JIT), Kanban, and pull systems preferred.
  • Strong mathematical, analytical, problem-solving, and organizational skills.
  • 3 - 5 years of experience in Logistics and/or Warehouse or related field.
  • Bilingual English/Spanish preferred.
  • Previous experience shipping and receiving product internationally
  • Proven leadership skills.
  • Trained to operate motorized fork lift equipment and manual pallet jacks.
  • Working knowledge of inventory and MRP/ERP system, including Bill of Material (BoM) documents.
  • Good computer and analytical skills; proficiency in Microsoft Office, especially Excel.
  • Outstanding ability to multitask and work independently.
  • Ability to effectively present information and respond to common inquiries or complaints from groups of managers, clients, and vendors.
  • Detail oriented with the ability to work in a fast paced environment without compromising accuracy.
  • Demonstrated superior organizational skills, communication skills, and professionalism.
  • Must be able to respond quickly to demand.
  • Ability to lift up to 50 lbs.
