We do this by leveraging technology, data intelligence, and operational excellence to drive clarity, growth, and innovation with excellence in all that we do. WarehouseQuote has built an integrated network of warehouses that can provide customers with on-demand scalable capacity. Customer inventory inside the WarehouseQuote network is managed by proprietary technology that can be utilized to provide real-time inventory visibility and forecasting.

The Role:

The Inventory Control Specialist supports inventory accuracy and reconciliation efforts across internal and external teams at WarehouseQuote (WHQ). This role serves as a primary point of contact for Inventory Control activities and plays a key role in ensuring client confidence that WHQ is safeguarding their inventory.

The mission of the Inventory Control team is to maintain inventory integrity through detailed reconciliation, reporting, investigation, and proactive communication. When this role is executed well, it improves operational efficiency, reduces repeat inventory issues, and strengthens long-term client trust

Responsibilities:

Inventory Reconciliation & Analysis

  • Perform daily and weekly inventory reconciliations by reviewing and comparing
    • WHQ WMS transaction reports
    • Warehouse partner WMS data
    • Inbound and outbound shipment records
    • Inventory adjustments and cycle count results
  • Identify inventory discrepancies related to receipts, shipments, damages, shortages, overages, or system errors.
  • Investigate discrepancies thoroughly to determine root cause and required corrective action.
  • Analyze trends and recurring variance patterns to support preventative process improvements.

Issue Resolution & Escalation

  • Own inventory discrepancy investigations from identification through resolution when within WHQ’s control.
  • Escalate unresolved discrepancies to warehouse partners or internal stakeholders with:
    • Clear documentation of findings
    • Supporting data and transaction history
    • Recommended next steps or corrective actions
  • Track all escalations and follow-ups to ensure timely resolution and accountability.

Client & Internal Communication

  • Communicate inventory findings clearly and consistently with internal teams, including Service Operations, Account Management, and Operations.
  • Provide client-ready explanations that reinforce confidence in WHQ’s inventory controls by clearly outlining:
    • What occurred
    • How the issue was resolved
    • What preventative measures are in place
  • Maintain accurate, timely documentation and updates within Zendesk, WHQ Notes, and related systems.

    System & Reporting Management

    • Utilize WHQ’s Portal and Footprint by Datex (WMS) to review inventory activity, transactions, and system data.
    • Use Jira Business to track inventory investigations, assign follow-up tasks, and document resolution outcomes.
    • Leverage Microsoft Excel to analyze inventory data, reconcile reports, identify trends, and support decision-making.
    • Ensure all inventory activity and investigations are properly documented for visibility, auditing, and reporting purposes.

    Process Improvement & Collaboration

    • Collaborate closely with Inventory Control teammates and cross-functional partners to improve reconciliation workflows and reporting accuracy.
    • Identify gaps in processes, data visibility, or system usage that contribute to inventory risk.
    • Leverage AI and other tools to improve efficiency, accelerate reporting and spreadsheet-based analysis, and streamline inventory processes.
    • Share insights, trends, and improvement recommendations with leadership to reduce repeat discrepancies and improve operational efficiency.

    • Proficiency in Microsoft Excel (required).
    • Comfortable working across multiple systems, including:

    Preferred Qualifications

    • One to two years of experience in inventory control, logistics, supply chain, or warehouse operations.
    • Experience reconciling inventory using transaction-level data and reporting tools.
    • Strong written and verbal communication skills with the ability to explain complex issues clearly.
    • Ability to work collaboratively in a fast-paced, detail-oriented environment.
