Job description

Description The City of Muskego is seeking to fill a part-time Administrative Assistant position within its Building Department. The purpose of this new position is to assist the Permit Coordinator with all daily activities in the Building Department. Duties to be performed include but are not limited to entering permits (all types), recording payments, answering phones, assist with the front counter, open records requests and scanning/filing.

The hours for this position will be 10:00am - 2:00pm or 9:00am - 1:00pm Monday thru Friday equaling 20 hours per week. The hourly wage range for the position is $15.00 - $20.00. Minimum qualifications include a high school diploma

Microsoft Office programs, Adobe, cash handling experience and basic construction knowledge would be preferred but not required. Interested candidates should submit an application, cover letter and resume. The position will be open until filled.

These are not to be construed as exclusive or all-inclusive

Other duties may be required and assigned. Receiving, reviewing, entering and processing all incoming building and mechanical permits, forms and applications. Creation and updating of contractor files.

Scanning and filing all documents accurately. Process open records request. Professionally greets, screens and directs calls and visitors; provides information and assistance or refers to appropriate person or agency; takes and relays messages; and schedules meetings and appointments as needed.

Administrative tasks for Committee meetings including gathering materials; preparing agendas and notices for distribution; set up of exhibits and equipment; and recording and transcribing meeting minutes. Order Department forms and office supplies. Assist Permit Coordinator with other administrative duties as needed.

Additional Tasks and Responsibilities While the following tasks are necessary for the work of the department, they are not an essential part of the purpose of this position and may also be performed by other staff. Photocopies, faxes, scans and emails, documents and other materials. Assist with updating information on the City website.

Distribute in-coming mail and prepare outgoing mail. Prepare mailings and affidavits. Assist with monthly and quarterly reports.

Works on special projects as assigned. Typical Qualifications Minimum Training and Experience Required to Perform Essential Job Functions High school diploma or equivalent. Office experience preferred but not required.

Some cash handling experience but not required. Some basic construction knowledge but not required.
