Job description

The Volunteer Services Administrator is responsible for supporting the recruitment, scheduling, and management of volunteers to ensure effective participation in organizational programs and events. This role involves maintaining volunteer records, assisting with training, and providing ongoing support to enhance volunteer engagement. This person will oversee volunteers at the main campus in Longwood.

PRIMARY DUTIES AND RESPONSIBILITIES:  

  • Volunteer Database Management: Maintain and update the volunteer database, ensuring accurate records of volunteer information, hours, and activities. Generate reports from the database to support program evaluation and decision-making.
  • Volunteer Communication: Serve as the primary point of contact for volunteers, addressing inquiries and providing information about opportunities and events. Develop and distribute regular newsletters and updates to keep volunteers informed and engaged.
  • Event Coordination Support: Assist in the planning and execution of volunteer-related events, including scheduling, logistics, and communication. Coordinate volunteer participation and ensure all necessary materials and resources are available.
  • Volunteer Onboarding Assistance: Support the onboarding process by preparing orientation materials and assisting with training sessions. Ensure new volunteers understand their roles and responsibilities within the organization.
  • Administrative Support: Provide general administrative support to the volunteer services team, including scheduling meetings and managing correspondence. Assist with the preparation of reports and presentations for internal and external stakeholders.
  • Feedback Collection: Gather feedback from volunteers regarding their experiences and satisfaction with the program. Compile feedback data to support program improvement initiatives.
  • Patient and Family Support: Responsible for supporting, greeting, and assisting patients and families within the centers due to co-location

MINIMUM JOB QUALIFICATIONS:

  • High School Diploma Required
  • At least 1 year of work experience
  • Volunteer experience preferred

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Ability to manage multiple tasks and prioritize effectively to ensure smooth volunteer operations. Proficiency in maintaining accurate and up-to-date volunteer records.
  • Strong verbal and written communication skills for interacting with volunteers and staff. Ability to clearly convey information and instructions to volunteers.
  • Ability to build and maintain positive relationships with volunteers and team members. Sensitivity to and respect for diverse backgrounds and perspectives.
  • Basic proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Familiarity with volunteer management software for data entry and basic reporting.
  • Ability to address and resolve minor volunteer issues independently. Resourcefulness in finding solutions to scheduling and coordination challenges.
  • Ability to work effectively as part of a team to achieve common goals. Willingness to support colleagues and contribute to a positive team environment.
  • Keen attention to detail in managing volunteer schedules and event logistics.
  • Ability to ensure accuracy in volunteer data and reporting.

The hiring range is based on market pay structures, with individual salaries determined by factors such as business needs, market conditions, internal equity, and based on the candidate’s relevant experience, skills and qualifications.

For union positions, the pay range is determined by the Collective Bargaining Agreement (CBA).
