Job Description

Generator Supercenter is seeking an organized, responsible, and professional Scheduling Coordinator / Receptionist to join our growing organization. In this position, it is essential that you dress business casual, have excellent communication skills, strong interpersonal skills, and great people person skills. Tin this position, you will be responsible for scheduling small construction and electrical projects with homeowners and tradesman andanswer, direct, transfer or forward all calls, perform miscellaneous clerical tasks, and help keep main areas tidy. Other duties will include assisting the office staff with organizing sales files, preparing potential customer questionnaires, and generally helping keep the visitor areas running smoothly.

Working Conditions:

Typical hours of operation, Monday โ€“ Friday, 8AM โ€“ 5PM.

Weekend hours as necessary, and some adjustments to starting and quitting time as workload requires.

Physical demands include: Walking, standing, sitting at a desk, typing on keyboard, viewing and reading computer monitor, and using telephone. Lift up to 50 lbs. Use hands and arms to reach, touch, handle objects. Frequent talking, hearing, and reading are also required to perform regular job functions.

Knowledge, Skills, and Abilities:

Must have working knowledge of the above titled position and how it related to the overall business and itsโ€™ objectives

Must promote and maintain a clean, neat and safe work environment

Good people skills with ability to communicate well with others

Highly motivated self-starter with ability to multi-task and meet deadlines

Strong organizational skills and attention to detail

Qualifications:

Being bilingual, or having construction / trade experience is a plus+

Duties:

Build and maintain daily schedules with supplied information from the field and project management teams.

Setup Jobs and ensure updated with proper construction documentation.

Review daily construction reports and quality reports for any issues and work with the team to resolve issues as required.

Ensure all documentation is updated.

Manage punch list items and ensure proper close out.

Work closely with Construction Superintendents daily on monitoring the project schedule and budget to ensure proper completion of the site. Coordinate with the project management team for recovery plans where necessary, meet regularly with staff and subcontractors to discuss progress, obstacles, challenges and assist in removing barriers to completing work.

Coordinate permit inspections and final closeout of all open permits.

Experience working with customers and subcontractors.

Ability to anticipate events and develop adaptive strategies / remedies.

Experience working in work order management and documentation control.

Notify company personnel of waiting guests/visitors when necessary.

Update office wide calendars and spreadsheets when needed.

Help manage office supply inventory.

Education & Experience:

High school diploma or equivalent.

Proficient in relevant computer applications

Required language proficiency.

Good data entry and typing skills.
