Reports To: Senior Manager of House and Volunteer Services
Supervises: Volunteers
Starting Pay: $58,000, non-exempt ($27.88/hour)
Job Summary: To oversee Kentucky Performing Arts (KPA)'s Volunteer Services Program by coordinating logistics, providing great communication and general organization of the program. Act as the departmental liaison to Volunteers and serve as their voice to the PCA Department. Assist in providing excellent service to KPA’s patrons, employees and volunteers.

- Organizes all aspects of the Volunteer Program with the Support of the Sr. Manager.
- Maintains Volunteer show schedules, individual Volunteer records, work histories and other Volunteer paperwork.
- Communicates with all Volunteers to facilitate their participation in the program.
- Schedules necessary events with Volunteers by overseeing the creation of the assignment sheets in advance of each event, placing each Volunteer at a specific post.
- With the Sr. Manager, recruits new volunteers and supervises their training and orientation.
- Oversees editing and production of the volunteer manual.
- Pulls reports from Volgistics Software that determines volunteers' compliance with program requirements.
- Inputs house management staff comments and feedback into Volgistics, using sound judgment to determine when that feedback needs to be addressed by self or by the Sr. Manager directly.
- Listens and responds effectively to volunteer and patron questions and serves as the liaison between volunteers and the department.
- Creates and edits the quarterly volunteer newsletter.
- With the support of the Sr. Manager, manages the development and implementation of the Volunteer recognition and benefits program which includes gift certificates, parking passes, use of Centerforce tickets, ticket giveaways, and the annual Standing Ovation Recognition Event.
- Maintains partnerships with businesses and/or agencies from a Volunteer perspective (KAVA).
- Assists the Senior Manager and the Communications Department in promoting and publicizing KPA Volunteer Programs to the public.
- Assists the Sr. Manager with budget preparation in relation to the Volunteer Program.
- Completes training as a Floor Manager and fills in for part-time staff when needed for understaffed events.
- Performs clerical and secretarial tasks such as mailings, making phone calls on behalf of the program and department, word processing, filing, and other general office work.
- Provides special assistance and emergency assistance to patrons as needed.
- Identifies and reports all problems to the Sr. Manager.
- Other duties that may be assigned by supervisor.
Essential Physical and other Responsibilities:
- Maintains Adult CPR and AED certification.
- Ability to effectively communicate in internal and external relationships for all essential job functions.
- Above average skills in reading, writing, and speaking English.
- Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.
- While performing the duties of this job, the employee is regularly required to talk or hear.
- The employee is frequently required to stand, walk and navigate stairs for long periods of time; may occasionally stoop, bend, kneel, or crouch.
- Ability to lift approximately (25 - 50) pounds unassisted using appropriate lifting techniques and/or devices.
Education, License, and Skills:
- Minimum high school diploma or GED required; Bachelor’s degree or equivalent experience preferred
- Experience in the field of arts management, venue operations, and/or non-profits.
- Ability amp; willingness to work a varied schedule, including nights and weekends.
