Job Description for Assistant Manager, Marketing and Publications:

Job Title and Classification: Assistant Manager, Marketing/Publications; Full-time, N4
Position Information
Department: Communications
Reports to: Associate Executive Director, Communications & Production Services
Office location: Springfield
Salary Range & Benefits: The position offers an annual salary of $42,000-56,000, with a generous benefits package that includes holidays, vacation and sick time, medical, dental, vision, life insurance, and retirement benefits. This position will be eligible for Hybrid work after 30 days of employment.
POSITION SUMMARY
This position works to support all communications and marketing consistent with the
Association's vision and mission, brand standards, and goals through the development and
management of creative assets used across print and electronic media. This position works
closely with various departments to coordinate and execute projects, ensuring that all deadlines
are met, and all deliverables are of the highest quality.
The successful candidate will have excellent communication and interpersonal skills,
demonstrated graphic design skills and knowledge, as well as a strong attention to detail and
the ability to multitask and problem solve. Incumbent will be highly organized and have the
ability to juggle various responsibilities and tasks.
FUNCTIONS OF THE JOB
Functions include the following (with essential functions in bold type):
• Create layouts and prepare art to be used across various electronic and print
media supporting Association programs and service offerings. Deliverables include
but are not limited to advertisements, publications, presentation slides, email templates,
infographics, social media images, etc.
• Draft and schedule posts across social media platforms like LinkedIn, Instagram,
and Facebook, and monitor social engagement.
• Photography and videography at Association events and trainings for marketing
initiatives and publications reporting. Maintain digital assets.
• Provide typesetting and page layout support for the Illinois School Board Journal
publication (published bimonthly 6x per year) and other print/electronic
publications. Assist with transitioning print publication formats to accessible, digital
formats.
• Maintain and update general IASB-branded documents, files, and displays,
including but not limited to board and staff photos, organization chart, document
templates, and PowerPoint templates.
• Support production operations, as needed. This includes operating production
equipment including high-speed copiers and wide format printers to complete jobs and
assist with production-related tasks, including finishing and mailing; always maintaining
safe operating procedures; and supporting mailroom functions when needed (i.e.
receiving/sorting daily mail and bulk mailing preparation).
• Maintain an internal listing of marketing imagery brand assets and coordinate with staff
to ensure correct assets are utilized.
• Monitor production project requests for application in marketing communications.
• Communicate with staff to understand graphic design needs and project scope.
• Manage proofing and approval of all materials created.
• Always adhere to IASB brand standard guidelines.
• Stay updated on marketing trends and best practices and suggest innovative design
approaches.
• Attend and provide support at the IASB/IASA/IASBO Joint Annual Conference;
performs various duties as assigned. Tasks include but are not limited to preparation
of multimedia displays (i.e. video, PowerPoint); coordinating graphic elements for
various communications; creating signs and displays using the established templates;
preparing and staffing the Association's onsite information room, bookstore, and other
initiatives as needed
• Utilize the Staff Intranet SharePoint site and Office 365 applications for staff
communication and collaboration.
• Attend required and assigned meetings.
• Engage in continuous learning by participating in appropriate professional development
offerings as needed.
• Practice reliable and consistent attendance and punctuality.
• Perform other duties as assigned.
EDUCATION and/or EXPERIENCE
Bachelor's degree in marketing, communications, graphic design, or other related field; strong
knowledge and experience digital communications tools (website systems, email marketing
platforms, social media channels); and strong knowledge of graphic design and publishing
concepts.

• Be familiar with email marketing platforms and web authoring technology and best
practices (CMS environments, HTML, CSS, JavaScript); able to learn continually
changing web-related technologies
• Able to be trained to operate standard bindery equipment, high-speed copiers, and
mailroom equipment (postage meter, UPS software, tabbing machine, strapping
machine, string tier, envelope printer) and addressing software (ConnectRight Mailer)
SPECIAL CONDITIONS OF EMPLOYMENT:
Physical Demands
Must be able to move and lift 40-pound wooden skid or pallet. Must be able to lift, move and
safely handle boxes and materials up to 50 pounds and be able to hear and speak as necessary
to perform the functions of the position.
