Job description

The Finance & HR Support Specialist is responsible for managing the company's accounts receivable process while providing administrative and operational support to the finance department, as well as HR support. This role requires strong attention to detail, excellent Member/Program Participant service, problem-solving abilities, and the ability to learn new processes quickly. The ideal candidate is dependable, organized, and enjoys working in a collaborative team environment.

This role will be a hybrid work schedule.

Accounts Receivable

  • Generate and distribute Member/Program Participant invoices accurately and on time
  • Process incoming payments via check, ACH, wire, and credit card
  • Monitor Member/Program Participant accounts to ensure timely collections
  • Follow up on outstanding balances professionally and courteously
  • Research and resolve billing discrepancies and Member/Program Participant payment issues
  • Apply Member/Program Participant payments accurately to accounts
  • Reconcile accounts receivable balances and prepare aging reports
  • Maintain accurate Member/Program Participant records and documentation
  • Work closely with Member/Program Participants and internal departments and programs to resolve account issues
  • Personal Growth -Maintains a high degree of emotional maturity and interpersonal skills; is committed to ongoing learning
  • Other duties as required

Finance Support

  • Assist with month-end and year-end closing activities
  • Prepare reports and spreadsheets
  • Support cash application and account reconciliations
  • Assist with financial recordkeeping and filing
  • Provide backup support for other accounting functions as needed
  • Maintain confidentiality of financial information
  • Participate in process improvement initiatives to increase efficiency and accuracy
  • Perform other accounting and administrative duties as assigned

HR Support

  • Relationship Building – Develop collaborative relationships with staff throughout the association to build awareness of the Y’s mission and impact and a collaborative culture.
  • Administration – Accurately process staff and volunteer hiring and ongoing personnel records, ensuring compliance and confidentiality.
  • Reporting– Generate accurate HR-related reports as needed
  • Training and Support: Train and coach staff through hiring process and administrative payroll functions as needed.
  • Orientation– Schedule and conduct new employee orientations.
  • Payroll Administration: Accurately support and process payroll.
  • Leave Administration: Support with staff leaves, WC, FMLA, ADA
  • Perform other duties as assigned

  • Associate's degree in Accounting, Finance, HR, Business Administration, or equivalent experience preferred
  • Previous Accounts Receivable or accounting, data entry experience preferred
  • Proficiency in Microsoft Excel and Microsoft Office
  • Experience with accounting, and HRIS software is a plus
  • Strong mathematical and analytical skills
  • Excellent organizational and time management abilities

WORK ENVIRONMENT & PHYSICAL DEMANDS:

  • This position is primarily performed in a professional office environment
  • Prolonged periods of sitting at a desk and working on a computer are required
  • Frequent use of a computer, keyboard, telephone, and other standard office equipment
  • Must have the ability to communicate effectively in person, by telephone, email, and virtual meeting platforms
  • Occasional standing, walking, bending, reaching, and lifting or carrying office supplies or files weighing up to 20 pounds may be required
  • Requires close visual acuity to prepare and analyze financial data, review documents, and perform computer-based tasks
