Office Manager


Position Summary

The Office Manager plays a critical role in supporting the local Milwaukee office operations and activities and has a direct line into the headquarter operations in Tysons, Va. This position works closely with the executive team in the local Milwaukee office and handles a broad array of activities from recruiting and hiring new employees/consultants, to tracking client billings and collections, to tracking prosecting and sales activities and other ad hoc activities related to the local office.



Key Responsibilities


Recruitment Coordination

  • Create, post, and manage job openings on LinkedIn, company career sites, and other job boards.
  • Review applications and assist with candidate screening and qualification reviews.
  • Coordinate and schedule interviews between candidates and hiring managers.
  • Communicate with candidates throughout the recruitment process, providing updates and ensuring a positive candidate experience.
  • Manage interview calendars and logistics, including virtual and in-person interviews.
  • Prepare and distribute interview schedules, candidate profiles, and evaluation materials.


Candidate Sourcing & Management

  • Source candidates through LinkedIn, job boards, referrals, and other recruiting channels.
  • Build and maintain talent pipelines for current and future hiring needs.
  • Conduct initial outreach to prospective candidates.
  • Track candidate activity and maintain accurate records in the Applicant Tracking System (ATS).


Administration

  • Work closely with office leadership to manage and coordinate day to day activities
  • Monitor job posting performance and recommend improvements.
  • Monitor initial client/prospect meetings and manage follow-up activities
  • Sales pursuits โ€“ work with leadership to ensure next steps are executed related to sales process and pursuits


Qualifications

  • Bachelor's degree.
  • 1โ€“3 years of office experience with preference in HR or talent acquisition or sales.
  • Experience with LinkedIn Recruiter, LinkedIn Jobs, and other sourcing platforms preferred.
  • Familiarity with Applicant Tracking Systems (ATS).
  • Strong organizational, communication, and multitasking skills.
  • Ability to manage confidential information with discretion.
  • Proficiency with Microsoft Office Suite
