Job description

Williams Blackstock Architects is seeking a talented and highly organized Senior Marketing Coordinator / Proposal Specialist to join our Birmingham-based architecture and design firm.
This role is ideal for someone who combines strong graphic design skills with clear communication, attention to detail, and the ability to manage complex marketing and proposal efforts from start to finish. A major focus of the position will be leading the creation of responses to Requests for Proposals, Requests for Qualifications, and other pursuit materials that help the firm win meaningful work.
The ideal candidate will be comfortable working in a fast-paced, deadline-driven environment and will bring a strong design eye, excellent production skills, and a willingness to learn the people, projects, and story of the firm.
This is an in-office position based in Birmingham, AL
Responsibilities
  • Lead the development, coordination, design, and production of RFP, RFQ, and proposal responses.
  • Work closely with firm leadership, project teams, and the marketing team to develop compelling, customized pursuit materials.
  • Create, update, and maintain proposal templates, resumes, project sheets, award submissions, brochures, and other marketing collateral.
  • Design proposal and presentation materials using Adobe InDesign, with additional support in Photoshop and other Adobe Creative Suite programs as needed.
  • Manage proposal schedules, deadlines, content requests, and production requirements to ensure timely and accurate submissions.
  • Help maintain and organize firm content, including project descriptions, staff resumes, photography, graphics, statistics, and boilerplate language.
  • Support the firm’s digital asset management system, including organization, tagging, and retrieval of project photography and marketing assets.
  • Assist with website updates and content management.
  • Support internal communication tools, including the firm’s intranet or knowledge-sharing platforms.
  • Collaborate with the marketing team on social media, awards submissions, public relations, event support, and other firmwide marketing initiatives.
  • Help ensure that all marketing materials are visually consistent, well-written, accurate, and aligned with the firm’s brand.

Qualifications
  • Bachelor’s degree in graphic design, marketing, communications, architecture, or a related field.
  • Strong proficiency in Adobe InDesign is required.
  • Experience with Adobe Photoshop, Illustrator, Acrobat, and Microsoft Office is strongly preferred.
  • Experience developing proposal, qualification, or publication-style documents.
  • Strong graphic design sensibility, including layout, typography, image selection, and visual storytelling.
  • Excellent writing, editing, proofreading, and organizational skills.
  • Ability to manage multiple deadlines and coordinate information from multiple team members.
  • Strong attention to detail and commitment to accuracy.
  • Comfort working both independently and collaboratively.
  • Ability to learn technical project information and translate it into clear, compelling marketing content.

Preferred Experience
  • Experience in the architecture, engineering, construction, real estate, or professional services industries.
  • Familiarity with RFP/RFQ processes and proposal production.
  • Experience with Squarespace or similar website platforms.
  • Experience with OpenAsset or another digital asset management system.
  • Experience maintaining project databases, staff resumes, photography libraries, or firm intranet systems.
  • Photography editing, presentation design, or environmental graphics experience is a plus.
