Role Overview
Emporia's TPO battery program is running simultaneously across multiple states with permitting, utility interconnection, VPP enrollment, and regulatory compliance all moving at once. The Manager overseeing this needs a right hand: someone who can own the administrative and coordination backbone of the program so nothing slips between AHJ calls, utility follow-ups, tracker updates, and status reporting.
This is a coordinator-level role built to grow. You'll start by taking ownership of the trackers, registers, and follow-up cadences that keep the program honest, then expand into owning discrete workstreams (a state, a vendor relationship, a compliance thread) as you build fluency. Think of it as an apprenticeship into program management for a fast-moving, multi-state regulated energy business.
Responsibilities
Permit & Interconnection Tracking
  • Maintain daily/weekly status on permit and interconnection applications across active installs - flagging inspection failures, missing paperwork, or stalled applications before they become deployment blockers.
  • Keep the state-by-state regulatory tracker (AHJ contacts, permit fees, application templates, fire code references, utility interconnection requirements) up to date and easy for the team to search.
  • Own routine follow-up communication with AHJs, utilities, and vendors on outstanding items - inspection reschedules, cost-allocation questions, document requests - and escalate to the Manager when a response is overdue.

Program Administration & Reporting
  • Maintain the program's action-item register with current status, owners, and due dates pulled from Slack, email, meeting notes, and Jira.
  • Draft the weekly status report concise, categorized, only leadership-relevant items, pulling from the tracker and the Manager's input.
  • Keep the team's internal wiki accurate proposing edits for approval before publishing and preserving existing formatting/status conventions.
  • Track commitments and open questions captured from Gemini/meeting notes and Slack threads, confirming details with the Manager before treating them as final.

Cross-Functional Coordination
  • Coordinate action items across internal stakeholders (compliance, marketing, ops, hardware vendors) get done, chasing owners rather than letting items go stale.
  • Help prepare materials for AHJ and utility meetings (trip plans, agendas, AHJ meeting materials) alongside the Manager and Marketing.
  • Take ownership of discrete workstreams as the role matures - starting with a single state or vendor relationship and expanding based on performance.
  • Support field operations by streamlining communication between on-site teams and office staff, ensuring field issues, safety reports, and site documentation are processed and filed promptly.
  • Support pre-construction planning by ensuring project documentation, site requirements, and permit packages are finalized and organized before field deployment begins.

Required Qualifications & Skills
  • 2+ years of experience in program coordination, project administration, or operations support - energy, construction, solar, or a regulated industry preferred.
  • Excellent written communication and highly organized; comfortable managing multiple open threads across email, Slack, and shared trackers without anything slipping.
  • Proficiency with Google Workspace, spreadsheets, and collaborative wikis (Confluence or similar); comfort learning Jira.
  • Genuine comfort with AI productivity tools and a track record of using them to extend personal capacity.
  • AI Fluency: Demonstrated track record of using AI productivity tools to solve complex problems and significantly extend personal capacity.
  • Self-starter who asks good questions, follows up without being told twice, and is comfortable escalating when something is stuck.

Strongly Preferred Qualifications & Skills
  • Exposure to residential solar/battery permitting, utility interconnection, or AHJ processes.
  • Familiarity with VPP or demand response programs.
  • Prior experience supporting a program or project manager directly (executive/program assistant background).

What We Offer
Compensation: The expected base salary range is $50,000 - $75,000, plus stock options. The offered salary will depend on numerous factors, including but not limited to work experience, skills, and internal equity considerations. The base salary does not include benefits or other incentives.
