Summary
We currently have an immediate need for a full-time Administrative Assistant who will assist group members with scheduling, coordination, document preparation, and customer service activities along with all other administrative activities.
Candidates for this position may be required to pass pre-employment and periodic screenings, including background checks, drug and alcohol tests, or other necessary assessments.
Some of the work that you will do:
  • Distribute daily and weekly reports/schedules to group members. Create associated meetings and calendar invites.
  • Ensure PMs keep job schedule & warranty schedule updated weekly
  • Verify Kanban updates (should match job schedule)
  • Assist with completing and approving unit expenses
  • Answer phones and direct customers to the appropriate point of contact.
  • Coordinate work and tasks with other departments
  • Organize group functions and activities.
  • Update personnel lists (schedules/on call, contact info, emergency, seating, etc.)

  • High School Diploma/GED or equivalent education.
  • One or more years of relevant work experience.
  • Knowledge or or experience with Microsoft Word and Excel and PDF editing software.
  • Excellent verbal and written communication skills
  • Ability to work with others in an office environment and maintain a positive attitude
  • Ability to manage multiple, competing deadlines in an efficient and effective manner

Here are the skills and qualifications that will set you apart:
  • Relevant post-high school training, certification, or coursework
  • Experience coordinating and/or managing projects
  • Knowledge of or experience with data storage software and/or Navision
  • Strong customer service orientation
  • Ability to listen and integrate what is said into final product
  • Knowledge of or experience with engineering firms or concepts

Physical Requirements:
  • Ability to sit at workstation using computer/phone.
  • Regularly required to move around the facility.
  • Occasionally required to lift and/or move up to 40 pounds.
