Primary Purpose:
Organize and manage the routine work activities of an administrative department office and provide clerical services to the department head and other staff members.
Qualifications:
Education/Certification:
  • High School diploma or GED
Special Knowledge/Skills:
  • Proficient skills in keyboarding, word processing, and file maintenance
  • Effective communication and interpersonal skills
  • Basic math skills
  • Ability to use personal computers and software to develop spreadsheets, databases, and word processing
  • Follow good business practices and provide detailed and accurate work
  • Have a knowledge of police operations
  • To be able to work directly with the Chief of Police and to keep confidential all discussed items.
  • Ability to conduct instruction and/or attend meetings and professional development, and make and receive phone calls in a virtual or remote workplace environment
  • Telecommunicator's License
  • Property room certification
  • Proficiency in Skyward
Experience:
  • Two years' clerical experience, preferably in a public education environment
Major Responsibilities and Duties:
Records, Reports, and Correspondence
  1. Prepare correspondence, memorandums, forms, requisitions, and reports for the Crowley ISD Police department using personal computer.
  2. Participate in meetings discussing various programs and deliverables for the department, take notes and provide meeting minutes as requested.
  3. Compile pertinent data as needed when preparing various state and local reports.
  4. Maintain physical and computerized departmental files.
  5. Have general knowledge of Eduphoria Facilities and Events, Helpdesk, and Technology needs.
  6. Assist with updating and preparing Administrative Regulations relating to Crowley ISD Police department.
  7. Assist with preparation of weekly and monthly agendas for Administrator meetings.
  8. Assist with necessary documentation, reports, scheduling, and audit preparation relating to district and campus safety and security.
  9. Collect and enter invoices, requisitions and purchase orders.
Accounting
  1. Perform routine bookkeeping tasks, including simple arithmetic operations, for the department.
  2. Assist with the preparation of purchase orders and payment authorizations.
  3. Maintain the Crowley ISD Police department budget.
Reception and Phones
  1. Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
  2. Assist public, staff, and students as needed.
  3. Assist with preparation of materials for mailing, including preparing labels, stuffing envelopes, etc.
  4. Provide clerical assistance as needed.
Other
  1. Answer incoming calls and handle questions from public, outside agencies, staff and take reliable messages.
  2. Greet visitors and respond to routine inquiries from staff and public; refer appropriate inquiries or problems to the Chief of Police.
  3. Maintain a schedule of appointments and meetings for the Chief of Police and Police department staff.
  4. Make travel arrangements for department staff.
  5. Receive, sort, and distribute mail and other documents.
  6. Maintain confidentiality of information.
  7. Maintain computerized files using personal computer including reports.
  8. Assist in maintaining office machines for the department.
  9. Monitor District Emergency Radio System and respond when necessary.
  10. Maintain office machines and order office supplies for the department.
  11. Maintain appropriate business hours, professional dress, language and behavior in the workplace.
  12. Maintain professional relationship with staff members and administrators.
  13. Assist with developing and maintaining Emergency Operations Procedures for district campuses and facilities.
  14. Serve on the District Campus Response Team, Administration Safety Team, and District Safety Team.
  15. Monitor Security cameras for Central Administration and other school campuses and report concerns to the Chief of Police or the Director of District Safety and Security.
  16. Assist in preparing and photographing District employees for ID cards.
  17. Assist in processing and overseeing Security Proximity Key Cards for District.
  18. Perform all duties as assigned.
  19. Successfully advances district initiatives.
  20. Any other duties the Chief of Police may assign.

Starting Salary:
$40,065 (2025-26 Compensation Plan)
  • Salary determination will be based on verified relevant work experience.
  • Salary will be adjusted to the start date.
