Idaho Home Learning Academy Administrative Assistant/Receptionist
Idaho Home Learning Academy (IHLA) is seeking an organized, motivated, and positive individual to serve as a full-time administrative assistant/receptionist at the IHLA office. IHLA is Idaho's largest K 12 public virtual charter school, serving approximately 7,000 students across more than 70% of Idaho's zip codes. This position works closely with IHLA administrators, office staff, and the community to support student success, drawing on strong organizational and communication skills.
The ideal candidate brings a friendly approach, exceptional attention to detail, and a genuine commitment to serving students and families. This individual must display a high level of integrity, honesty, and reliability, and be prepared to work both independently on projects and serve on office teams to complete other projects.
Qualificiations
  • Must be at least 18 years of age
  • High school diploma required
  • Advanced proficiency across Google Workspace is a plus, including but not limited to Google Docs, Sheets, Drive, Forms, Calendar, and Gmail. Applicants should be comfortable learning and using Google tools independently.
  • Previous experience with financial management and familiarity with spreadsheets will be advantageous.

Major Duties and Responsibilities
  • Receive and route incoming calls and correspondence
  • Sort, screen, and distribute incoming mail and process outgoing mail following federal and state law, administrative rules, and Board policy
  • Arrange meetings, prepare agendas, and handle follow-up activities as necessary
  • Arrange for school personnel to travel to conferences and meetings
  • Assist and direct visitors to the school
  • Collect, prepare, and track receipts and invoices for submission
  • Support the Executive Director in invoicing processes
  • Collaborate with the Supplemental Learning Funds team, office staff, and administration on a wide range of administrative duties
  • Respond to all email communications within 24 hours on weekdays and manage a high volume of daily communications
  • Know and consistently follow IHLA school policy
  • Maintain strict confidentiality of all student information in accordance with FERPA and school policy
  • Perform other clerical and administrative-support duties as assigned

Compensation and Benefits
Pay starts at $16/hour. Depending on years of experience in similar positions, it could be higher. Personal and sick leave are provided.
Evaluation
Performance of this position will be evaluated annually by the Executive Director in conformance with federal and state law, administrative rules, and Board policy.
Terms of Employment
This position shall be considered in all respects "employment at will". The "employment period" and other descriptions and terms set forth in this job description shall not create a property right for the employee. These are set forth only to advise the employee of when and what type of services will be required by the district so long as the employment continues.
