Job description

Summary: The Court Clerk is responsible for providing administrative, clerical, and technical support to the Tribal Court. This position maintains court records, manages case files, coordinates court proceedings, processes legal documents, and supports the Judge and Appellate Justices in the efficient administration of justice. The Court Clerk serves as a liaison between the Court, tribal departments, legal professionals, and the public while ensuring the confidentiality, integrity, and accuracy of all court records and proceedings.
Responsibilities:
  • Provide administrative and clerical support to the Judge, Appellate Justices, and Tribal Court personnel.
  • Support the daily operations of the Trial Court and Appellate Court.
  • Assist tribal members and the public by providing information regarding court procedures, court schedules, and case status as permitted by law.
  • Prepare, process, file, and distribute court orders, notices, subpoenas, summonses, warrants, Temporary Protection Orders (TPOs), and other court documents as directed by the Court.
  • Maintain court calendars, dockets, hearing schedules, and official court records.
  • Establish, maintain, and update electronic and physical case management systems.
  • Review and verify documents for completeness, accuracy, and compliance with court filing requirements.
  • Enter and maintain case information, financial records, court actions, and statistical data within the court management system.
  • Process complaints, citations, judgments, fines, fees, restitution, and payment records.
  • Monitor court-ordered payment agreements and notify the Court of non-compliance when necessary.
  • Prepare reports, statistical information, and program documentation as required.
  • Coordinate and provide support for in-person, telephonic, and virtual court hearings.
  • Operate courtroom technology, maintain hearing recordings, prepare court minutes, and manage exhibit and witness information.
  • Maintain and archive digital recordings and court documents in accordance with records retention requirements.
  • Assist in the development and maintenance of court forms, procedures, and administrative documents.
  • Work collaboratively with Tribal Prosecutors, Defense Advocates, Law Enforcement, Social Services, and other agencies involved in court proceedings.
  • Assist with court projects, grants, budgets, and administrative initiatives as assigned.
  • Coordinate with Finance and Administration regarding court expenditures, grants, fines, fees, restitution, and other financial matters.
  • Answer incoming telephone calls, emails, and correspondence related to court operations.
  • Participate in meetings, training, and professional development activities.
  • Safeguard court records, evidence, exhibits, and confidential information.
  • Coordinate with Tribal, County, State, and Federal courts and agencies regarding the issuance, service, registration, and enforcement of Tribal Court warrants, Temporary Protection Orders (TPOs), Temporary Restraining Orders (TROs), and other court orders.
  • Perform other duties as assigned.

Knowledge, Skills and Abilities:
  • Knowledge of court procedures, legal terminology, records management practices, and judicial processes.
  • Knowledge of modern office practices, procedures, and equipment.
  • Ability to maintain strict confidentiality and exercise sound judgment when handling sensitive information.
  • Ability to follow Tribal laws, court rules, policies, and procedures.
  • Ability to accurately prepare, process, and maintain legal and court-related documents.
  • Ability to organize and prioritize multiple assignments while meeting deadlines.
  • Strong written and verbal communication skills.
  • Ability to compose correspondence, notices, and court documents from oral or written instructions.
  • Proficient in spelling, grammar, punctuation, and document preparation.
  • Ability to establish and maintain effective working relationships with court personnel, attorneys, law enforcement, tribal departments, and the public.
  • Strong data entry, database management, and records management skills.
  • Proficient in Microsoft Office Suite and electronic case management systems.
  • Ability to operate virtual meeting platforms and courtroom technology.
  • Ability to type accurately and maintain detailed records.
  • Proficient in Microsoft Word, Excel, Outlook, database systems, and general office equipment.
  • Ability to establish and maintain electronic case management systems and court databases.
  • Ability to coordinate and manage Zoom, telephone, and other electronic court hearings.
  • Ability to maintain strict confidentiality regarding all court matters and records.
  • Ability to work independently with minimal supervision.

Qualifications:
  • Associate degree in Criminal Justice, Legal Studies, Business Administration, Public Administration, or a related field preferred.
  • Minimum of two (2) years of administrative, clerical, legal, court, or records management experience required.
  • Or an equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities may be substituted for the stated qualifications.
  • Paralegal, legal assistant, court administration, or Tribal Court experience preferred.
  • Must pass a pre-employment drug screening
  • Must successfully pass a background check.
  • Must possess and maintain a valid Nevada Driver's License.
