At WTCSB, our mission is to provide a coordinated system of quality recovery-oriented care in Mental Health, Intellectual Disability, and Substance Abuse Services to the citizens of the cities of Franklin and Suffolk and the counties of Isle of Wight and Southampton. We are seeking an Administrative Specialist for our Human Resources office located in the Harbour View section of Suffolk
Responsibilities and Duties will include, but not be limited to:
• Provide clerical and technical support to the Human Resources Management Team.
• Conduct new hire background fingerprint appointments and submit background checks.
• Assist with reference checks for newly hired employees.
• Maintain, update, and file employee records and files, ensuring data accuracy and confidentiality.
• Assist in maintaining and updating employee licensure/certification renewal in the HRIS system.
• Composing letters, memorandums, compiling reports and documents
• Assist with the compilation of statistics for various reports for review by the Human Resources Administrator or Director.
• Answer/direct incoming calls, take messages, and place outgoing calls efficiently and professionally.
• Assist with transferring inactive employee files for archiving or destruction.
• Prepare/track/maintain requisitions and supply orders for Human Resources.
• Assist with new hire onboarding documents and training materials.
• Assist with new hire orientation and training.
• Create & send a monthly HR Newsletter and welcome New Hire post on the agency's SharePoint
• Contribute to HR projects, including employee engagement surveys, training programs, and policy updates.
• Help organize company events and activities that promote a positive workplace culture.
• Assigned, complete, and respond to the HR task ticket.
• Other position-related duties as assigned by the Human Resources Administrator and Director.
Qualifications and Skills:
• Education/Equivalent: Graduation from an accredited college with an associate's degree in a business-related field or a combination of education and work experience, which provides the equivalent.
• Clerical Experience: A minimum of three years of increasingly responsible Human Resources experience.
• Intermediate to advanced knowledge of MS Word and PowerPoint and/or HRIS systems.
