Position Summary:

Ready to take the next step? We are looking for an Assistant Banquets Manager to help lead our team at the Country Club of Birmingham to execute more than 1,000 events throughout the year!

The Assistant Banquets Manager will report directly to the Banquets Manager. This position supports the planning and execution of all banquet and club events – coordinating with the kitchen, setup team/housekeeping, maintenance, and service staff to ensure that all events run smoothly and exceed client expectations. This role involves direct supervision of the banquet staff during events and setup, and strong operational coordination before the guests arrive. This position is a member of the Clubhouse Leadership team and is expected to lead by example at all areas, energizing the “the answer is yes, now what’s the question?” philosophy.

Primary areas of responsibility are; daily event execution, staff supervision, BEO execution, event setup and service, on-the-floor problem solving, training and coaching, departmental communication, assistance in other food and beverage areas when necessary, and acting manager when the Banquets Manager is unavailable.

Reports to: Senior Banquets Manager

Salary: $60,000+ annually, based on experience.

Duties & Responsibilities in detail:

Event Operations

  • Oversee banquet setup, service, breakdown, and cleanup for assigned events.
  • Ensure rooms are set according to BEOs (Banquet Event Orders), floor plans, and client specifications.
  • Monitor timing and flow of events and resolve operational issues quickly.
  • Conduct pre-event inspections to ensure the space, equipment, décor, and supplies are ready.
  • Assign stations and responsibilities for each event you are assigned to.

Lead pre-shift meetings and communicate event details and service expectations

Leadership & Accountability

  • Supervise banquet captains, servers, bartenders, and temporary labor while holding them accountable to CCB standards
  • Leading by example in appearance, professionalism, and member interaction
  • Delegating effectively and following up
  • Addressing performance issues and documenting coaching/disciplinary issues
  • Assist the Banquet Manager in training and coaching employees on service standards, safety, company policies/procedures and overall development.
  • Assist with scheduling and managing labor levels based on event needs
  • Assist with hiring new team members when necessary
  • Providing feedback regarding employee performance.

Member & Client Service

  • Serve as a primary point of contact for event hosts during assigned functions.
  • Maintain a high level of guest satisfaction and address complaints promptly and professionally.
  • Coordinate special requests, VIP needs, dietary requirements, and last-minute changes.
  • Build positive relationships with clients, vendors, and other departments.

Event Coordination

  • Attend weekly BEO/F&B meeting, review BEOs and update with change sheets, and review event timelines with the Banquets Manager and other departments as necessary.
  • Coordinate with culinary, catering/sales, housekeeping, maintenance/AV, and front office teams.
  • Communicate changes to event specifications to the appropriate departments.

Food & Beverage Service

  • Ensure food and beverage service follow established CCB standards and in accordance with event timeline/BEO.
  • Monitor buffet presentation, plated meal service, bars, breaks, and replenishment.
  • Check food quality, presentation, temperature, and timing in support of the culinary team.
  • Monitor beverage inventory and consumption during events and assist with responsible alcohol-service procedures.

Club Events & Member Programming

  • Assist with execution of recurring member events such as:
    • Holiday parties
    • Member-Guest Events
    • Golf Tournaments
    • Wine Dinners
    • Specialty Brunches
    • Club Social events
    • Awards Dinners
    • Family focused events
    • Seasonal Celebrations
  • Help develop operational plans for high-volume club events

Inventory & Equipment

  • Monitor banquet equipment, china, glassware, silverware, and other supplies on a quarterly basis.
  • Ensure equipment is properly stored, maintained, and accounted for.
  • Report damaged or missing equipment and assist with inventory control.  

Financial & Administrative Duties

  • Assist Banquet Manager in labor and operational cost control.
  • Review event charges, consumption, and billing information for accuracy.
  • Complete banquet reports, staff assignments, incident reports, and any other required paperwork.
  • Help maintain department budgets and control unnecessary overtime or product waste.

Required

  • A high school diploma or equivalent
  • Must be 21 years of age or older
  • A minimum of 4 years’ experience in banquets, restaurants, or club food and beverage.
  • Ability to work in varying temperatures and environments; heat/cold/weather, indoors and outdoors
  • Ability to stand/walk for extended periods of time.
  • Ability to lift, carry, push weight up to 50lbs
  • Effective communication skills and ability to utilize POS system, excel, word, and other programs in accordance with this position.
  • Ability to work a varied schedule inclusive of extended shifts, weekends and holidays.

Preferred

  • Preferred Certifications: Food Handlers’ Certificate, Alcohol Safety, ABC Certification, Food Safety Program.
