Client Success & Sales Coordinator

Ruum Media is looking for a polished, highly dependable Client Success & Sales Coordinator to become a primary point of contact for our real estate clients.

This is not a traditional virtual assistant position. We are looking for someone who is comfortable speaking with U.S.-based clients, solving problems, managing orders, and identifying opportunities to increase sales.

The ideal candidate combines excellent customer service, organization, communication, and sales ability. You should be confident on the phone, comfortable working independently, and able to develop long-term relationships with clients.


Primary ResponsibilitiesClient Success & Customer Service

  • Answer incoming client phone calls professionally and promptly.
  • Respond to client emails and support requests through Help Scout.
  • Assist clients with scheduling new photography and media appointments.
  • Handle rescheduling, cancellations, photographer availability, and order changes.
  • Assist clients with questions regarding completed jobs and media deliveries.
  • Help resolve customer service issues quickly and professionally.
  • Escalate issues to management when necessary.
  • Follow up proactively with clients rather than simply waiting for requests.
  • Develop strong relationships with our agents, brokerages, and other real estate clients.
  • Help ensure clients feel recognized, supported, and valued by Ruum Media.

Sales Responsibilities

This position also plays an important role in helping Ruum Media grow revenue.

You will help clients understand which marketing products can improve the presentation of their listings and recommend additional services when appropriate.

Products may include:

  • Professional photography
  • Premium / luxury photography

  • Property video
  • Social media reels
  • Matterport / 3D tours
  • Floor plans
  • Property websites
  • Ruum Reserve services
  • Additional real estate marketing products

Sales should be consultative rather than aggressive. The goal is to understand what the client is trying to accomplish and recommend products that genuinely make sense for the listing.

You may also:

  • Follow up with existing clients who have become less active.
  • Reactivate previous Ruum Media clients.
  • Convert incoming inquiries into booked clients.
  • Follow up on leads that have not yet scheduled.
  • Introduce existing clients to services they may not currently be using.

Preferred Experience

  • Experience providing phone support to U.S. customers.
  • Experience with Help Scout, CRM systems, or similar customer-support software.
  • Real estate industry experience.
  • Photography, media, marketing, or creative-services experience.
  • Previous experience combining customer service with sales.

Schedule

The position requires dependable coverage during U.S. business hours.

Some flexibility may occasionally be required during our peak real estate season.

Because our clients depend on us for active property listings, reliability and consistent availability are extremely important.


Compensation

Compensation will be competitive and based on experience.

We are willing to pay above typical virtual-assistant rates for an exceptional candidate who can genuinely manage U.S. clients and contribute to sales.

The position may also include performance-based bonuses tied to sales and client growth.


$15 - $17 per hour + bonus
