Job description

About the Role:
Production Access Group Inc is looking for a driven and detail-oriented Sales Project Coordinator to join our team in Lake Forest, CA. This is an exciting opportunity to play a key role in supporting sales initiatives and keeping projects moving from start to finish. You will be quoting audio, video and control systems and answering technical questions from clients every day, so hands-on experience in AV or low voltage is required for this one. Responsibilities:
  • Build quotes and proposals, including bills of material, pricing and scopes for smaller projects using our standard presets
  • Create purchase orders, track what has been ordered, chase what is late, and flag backorders before they become a problem
  • Coordinate and manage sales projects from initiation through completion, ensuring timelines and deliverables are met
  • Keep clients updated on order status, shipping, tracking and returns before they have to ask
  • Follow up on open quotes, work the existing pipeline, update CRM systems and maintain accurate sales records
  • Liaise between sales, operations, and production teams to ensure seamless project execution
  • Release billing at milestones, track project budgets, and get certificates of insurance and bonds to the clients who need them
  • Prepare reports and sales documentation for internal and client-facing meetings
  • Assist in identifying process improvements to streamline sales and project workflows
Requirements:
  • Experience in AV, pro audio, lighting, broadcast or low voltage. This is required, not a plus. Commercial AV integration, a pro audio or lighting dealer, rental and staging, broadcast equipment, or low voltage and security integration all count. You should be able to look at a bill of materials and know roughly what the room does.
  • 2+ years of experience in a sales coordinator, project coordinator, inside sales, or purchasing role
  • Strong organizational and multitasking skills with exceptional attention to detail
  • Proficiency in CRM software and Microsoft Office Suite (Excel, Word, Outlook)
  • Excellent written and verbal communication skills, and comfortable on the phone with both clients and vendors
  • Ability to work collaboratively across departments in a team-oriented environment
  • Self-starter with a proactive mindset and strong problem-solving abilities
  • This role is on site in Lake Forest five days a week. It is not hybrid or remote
Nice to have: Reading a drawing set or a bill of materials. Building a quote a customer actually received. QuickBooks. Q-SYS, Biamp, Crestron, Extron or Dante exposure.
