Now Hiring: Donor Communications Coordinator
Department: Development | Reports to: Director of Giving and Engagement
Status: Full-Time, Non-Exempt
Salary Range: $60,000-$65,000 annually
Location: Ashland, OR

The Coordinator serves as the primary coordinator betweenย the Development and Marketing departments for communications and collateral. They work with the Director of Giving and Engagement to ensure that development priorities are translated into high-quality content and that organizational creative resources are effectively leveraged to support fundraising and engagement goals.

Development Communications Executionย 

  • Coordinate and produce communications under the leadership of the Director of Giving and Engagementย to support:ย 
    • membership and annual fundย 
    • Artistic Directors Circle (ADC)ย 
    • major gifts and campaign effortsย 
    • donor stewardship and engagementย 
    • Event invitations, confirmations, and follow-up messagingย 
  • Ensure communications are:ย 
    • timely, accurate, and well-producedย 
    • aligned with event execution and donor engagement strategyย 
    • coordinated with Donor Engagement Operations Manager to ensure consistency across experience and messagingย 
    • consistent across donor audiencesย 

Content Production & Material Developmentย 

  • Draft, format, and produce communication materials including:ย 
    • donor emails and correspondenceย 
    • event communications and invitationsย 
    • stewardship updates and impact materialsย 
    • proposal support materialsย 
  • Adapt messaging frameworks into audience-specific communicationsย 

Video & Audio Content Capture and Utilizationย 

  • Under the direction of the Director of Giving and Engagement, coordinate and support the capture of video and audio content during:ย 
    • donor eventsย 
    • engagement experiencesย 
    • artistic and behind-the-scenes momentsย 
  • Ensure content is:ย 
    • recorded effectivelyย 
    • trimmed and assembledย 
    • organized and accessibleย 
    • leveraged for donor communication, stewardship, and campaign storytellingย 
  • Coordinate with Marketing to develop compelling multi-media content that enhances donor engagementย 

Marketing Partnership & Creative Coordination (Critical Function)ย ย 

  • Serve as the primaryย coordinatorย between Development and Marketingย as it relates to communications and collateral
  • Partner closely with Marketing teams, including:ย ย ย 
    • content creatorsย 
    • graphic designers
    • photographers
    • videographers
    ย ย ย ย ย 
  • Coordinate development communication requests and content needs with Marketing, including:ย ย ย ย 
    • creative content requestsย 
    • campaign materials
    • donor-facing storytelling assets
    ย ย 
  • Coordinate:ย ย ย ย 
    • communication of Development priorities to Marketing and assist in tracking deliverables against agreed-upon timelines.ย 
    ย 
    • Delivery ofย final productsย thatย meet Development needsย ย 
    ย ย 

Project Coordination & Workflow Managementย ย ย 

  • Coordinate andย trackย communication timelines and deliverables across the Development teamย ย ย ย 
  • Coordinate with:ย ย ย 
    • Director of Giving & Engagement on planning and prioritiesย 
    • Director of Campaign & Major Gifts on campaign deliverablesย 
    • Gift Officers on donor-facing materialsย 
  • Ensure efficient movement of projects from concept to completionย 

Audience & List Coordinationย 

  • Coordinate audience segmentation and communication lists in partnership with:ย ย 
    • Director of Giving Operations & Analyticsย 
    • Ensure communications reach the appropriate audiencesย 
    • Support execution of targeted communicationsย ย ย 

    Accountabilityย 

    Development communications and content are delivered onย time, accurately executed, aligned with articulated development strategies, and support donor engagement and stewardship goals.ย 

    Minimum Qualifications & Skillsย ย 

    • Demonstrated ability to draft, edit, and adapt messaging for diverse audiences.ย 
    • Experienceย coordinating multipleย projects, deadlines, and stakeholders.ย ย 
    • Ability to coordinate effectively across departments.ย 
    • Strong organizational skills and attentionย to detail.ย 
    • Experienceย using Prospect2, Active Campaign, Mailchimp, or other email marketing platform.ย 

    Preferred Qualifications & Skillsย ย 

    • Experience inย fundraising communications orย nonprofit marketing.ย 
    • Experience working with creative teams including graphic designers, photographers, videographers, and content creators.ย 
    • Familiarity with audience segmentation, donor communications planning, and campaignย execution.ย 
    • Experience with project and taskย management platforms such as Asana,ย Airtable, or similar tools.ย 
    • Basic proficiency with video editing, Canva, or other editing tools.ย 

    Compensation: $60,000- $65.000 DOEย
