Administrative Assistant
POSITION SUMMARY: Reporting to Vice-President of Business Development and Vice-President of Operations this position provides essential clerical support to ensure process efficiency. The position will also assist in the management of the company IT program and participate in a wide range of logistical tasks to assist all departments. Tasks:
  • Manage office entry way and direct all invited entrants to the appropriate personnel
  • Order office supplies for the efficiency of the building
  • Answer main office phone line and direct calls to appropriate personnel
  • Maintain and distribute company contact information
  • Assist in daily management of the company IT program
  • Provide onsite or remote IT support to staff and manage user accounts/ profiles
  • Assist in software management
  • Assist in daily management of the company driver eligibility and DOT programs
  • Maintain office meeting calendar
  • Assist in the coordination, management, administration, and logistics of events
  • Carry out an efficient documentation filing system
  • Assist with marketing and public relations
  • Assist the operations and business development departments in executing processes
  • Perform other duties as assigned

Required Skills and Abilities:
  • Utilize excellent written and verbal communication skills
  • Ability to perform computations with reasonable speed and accuracy
  • Ability to multi-task and manage an office routine with consistency
  • Excellent organizational and time management skills
  • Ability to handle projects and communications of highly sensitive and confidential nature, where discretion and diplomacy are critical
  • Familiarity with clerical practices, office procedures, and automated equipment
  • Communicate effectively to vendors and customers
  • Proficiency in Microsoft Office (Excel, Word, and PowerPoint), iPad/ iPhone-based applications, as well as proprietary software required

Experience, Education and Licensure:
  • High school graduate or equivalent
  • Greater than 5 years of office experience preferred
  • Notary certification preferred
