Executive Administrative Assistant (C‑Suite Support)

Position Overview

The Executive Administrative Assistant will provide high‑level administrative support to the CFO, SVP, and VP, ensuring seamless coordination across three demanding executive schedules. This role requires exceptional organizational skills, strong judgment, and the ability to manage confidential information with the utmost discretion. The ideal candidate is proactive, polished, and comfortable operating in a fast‑paced, executive‑level environment.

Key Responsibilities

  • Provide direct administrative support to the CFO, SVP, and VP.
  • Manage and maintain complex calendars for all three executives, including scheduling, rescheduling, and canceling meetings.
  • Coordinate meeting logistics, prepare materials, and ensure executives are fully briefed ahead of engagements.
  • Review and monitor C‑suite inboxes, triaging messages, prioritizing communications, and maintaining strict confidentiality.
  • Prepare, submit, and track expense reports using Concur.
  • Support purchase order processing and expense workflows within Dynamics 365.
  • Coordinate domestic and international travel arrangements as needed.
  • Serve as a professional point of contact for internal and external stakeholders.
  • Anticipate executive needs, identify gaps, and proactively address issues without waiting for direction.

Required Skills & Experience

  • 4+ years of experience supporting C‑suite executives (recent experience required; prior EA experience acceptable).
  • Proven ability to manage multiple executive calendars simultaneously.
  • Strong proficiency in Microsoft Office Suite and Outlook calendar management.
  • Hands‑on experience with Concur for expense reporting.
  • Demonstrated administrative expertise, including document preparation, scheduling, and workflow coordination.
  • Proven experience taking initiative and being proactive.

Job Type & Location

This is a Contract position based out of Ontario, CA.

Pay and Benefits

The pay range for this position is $31.25 - $36.00/hr.
