Job description

The Project Administrator for the Development & Construction operation is responsible for all administrative functions for each project being managed by the Project Management team. This role is responsible for preparing department budgets and schedules, and monitors and maintains records of the status of projects. The position must Maintain in-depth familiarity with the dynamics and scope of projects and manage the flow of information and communication systematically among managers so as to optimize the efficiency of the operation.  Responsibilities include managing the warranty claims for all construction and development projects.

Compensation:

$65,000 - $80,000/year (Exempt)

Reports to:     Sr. Vice President of Development & Construction

Qualification/Requirements:
  • Requires minimum of 3 years previous experience, preferably in Development, Construction, and/or the Architecture/Engineering Field. 

  • Able to travel to Lana'i or Maui on a regular basis. Overnight stays may be required. 

  • Must be proficient in Outlook, Word, Excel, PowerPoint, and Bluebeam. 

  • Requires excellent written and verbal communication and organizational skills.

  • Requires relating to people in a friendly and professional manner.

  • Requires working to established procedures and maintaining reliable work attendance.

  • Able to think and make effective decisions quickly.

  • Ability to create effective working relationships with people.

  • Must be able to maintain a positive attitude and work under pressure.

Required Work Cards/Certifications:
  • Valid Hawaii Driver's License and successful review of Motor Vehicle Record
     

Physical Requirements:

  • While performing the duties of this job, the employee is regularly required to sit, talk and hear. 

  • The employee is occasionally required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; and stoop, kneel, crouch, or crawl.

Essential Duties

  • Prepare and/or assist in preparing, submitting and tracking all construction permits. 
  • Manage all Warranty Claims including assigning to contractor, tracking work, coordinating with Facilities Leasing and Maintenance and closing out the claim.
  • Manage flow of information and communication with County agencies for plans & permits.  Establish relationship with County personnel including coordinate meetings virtually or in person. 
  • Prepare and organize the project requests documents.
  • Manage / Facilitate / Create administrative documents such as meeting notes, correspondence, forms, updating spreadsheets for budget tracking.
  • Organize and Manage the Dev/Con offices. Duties to include:
    • maintain department files.
    • Make travel arrangements. 
    • Prepare travel and local expense statements.
    • Order and maintain supplies.
  • Perform other duties as assigned.
