Job description

TITLE: Admissions Coordinator (Other option: Admissions Manager)
REPORTS TO: Director of Admissions
POSITION SUMMARY
The Assistant Coordinator supports all aspects of Saint Viator High School's enrollment and recruitment efforts. This individual serves as an ambassador for Saint Viator, cultivating relationships with prospective students, parents, parish and school leaders, and community partners. The Assistant Coordinator works collaboratively with the Director of Admissions to execute recruitment strategies, manage admissions events, oversee the student ambassador program, coordinate shadow visits, and support enrollment growth goals.
This position requires strong interpersonal skills, exceptional organization, attention to detail, and a commitment to promoting Saint Viator's Catholic, Viatorian mission. Evening and weekend commitments are required, particularly during the fall recruitment season.
PRIMARY RESPONSIBILITIES
Recruitment & Outreach
• Represent Saint Viator at feeder school visits, high school fairs, parish events, and community programs
• Build and maintain strong relationships with feeder school administrators, counselors, teachers, and parish leaders
• Assist with presentations for prospective students and families
• Assist with identifying and cultivating new recruitment opportunities
• Support strategic initiatives to increase inquiries, applications, and enrollment
Shadow Day Program
• Coordinate all aspects of the Shadow Day program
• Schedule student visits and communicate with prospective families
• Manage daily logistics and hospitality for visiting students
• Collaborate with faculty, staff, coaches, and student hosts to ensure a positive experience
• Analyze participation and conversion data to support enrollment goals
FIRE Crew Student Ambassador Program
• Recruit, train, and supervise FIRE Crew student ambassadors
• Develop ongoing training and leadership opportunities
• Coordinate FIRE Crew participation at admissions events
• Manage attendance, communication, and expectations for student volunteers
• Ensure FIRE Crew members effectively represent the mission and culture of Saint Viator
Admissions Events
• Assist in planning and executing admissions events including: Open House, Entrance Exam, Shadow days, Future Lion events, Parent Information Nights, Family Welcome events and any additional recruitment events as needed.
• Coordinate event logistics, registration, hospitality, staffing, and follow-up communications
• Provide tours for prospective students and families
Enrollment Operations
• Maintain accurate admissions records and database integrity
• Track inquiries, applications, event attendance, and enrollment metrics
• Assist with admissions communications and follow-up campaigns
• Support application review and enrollment processes as directed
Marketing & Communications
• Collaborate with the Marketing Department on admissions-focused communication initiatives
• Contribute content and ideas for admissions publications, email campaigns, social media, and recruitment materials
• Assist in maintaining inventory of admissions promotional materials and giveaways
OTHER DUTIES
• Support athletic and extracurricular recruitment efforts as needed
• Attend evening and weekend events as required
• Perform other duties as assigned by the Director of Admissions
QUALIFICATIONS
• Bachelor's degree required
• Previous experience in admissions, enrollment management, education, marketing, customer service, or related field preferred
• Strong relationship-building, networking, and presentation skills
• Excellent written and verbal communication skills
• Highly organized with strong project management abilities
• Customer-service oriented with a welcoming and professional demeanor
• Experience with CRM/database systems preferred
• Proficiency with Google Workspace and Microsoft Office
• Ability to manage multiple priorities in a fast-paced environment
• Access to reliable transportation for travel to feeder schools and recruitment events
• Ability to lift up to 30 pounds and stand for extended periods during events
