Description
Elmore Road Veterinary Clinic, located in Southaven, MS, is a well-established and trusted veterinary care provider, committed to delivering compassionate and high-quality care to our patients. Our team is dedicated to ensuring that pets and their owners receive the best possible experience when they visit us. We are passionate about fostering a supportive team culture, where each member’s contribution is valued, and growth opportunities are provided. We are currently seeking a friendly and organized Veterinary Receptionist to join our dynamic team!
Our Veterinary Receptionist's typically work 4-day work weeks and rotate Saturday's. As receptionists, you will be guaranteed to receive every Sunday off.
Location: 6145 Elmore Rd Southaven, MS
Schedule: Monday – Friday, 7:30 AM – 5:30 PM (Shifts start at 7:15 AM)
Rotating Saturdays: 8:00 AM – 12:00 PM (Must arrive by 7:45 AM)

Some of the responsibilities you will own in this role:
Client Interaction & Communication:
  • Greet clients warmly and assist with the check-in process, ensuring that their needs are met efficiently.
  • Answer phone calls promptly, providing accurate information about services, appointments, and procedures.
  • Schedule appointments for routine check-ups, emergencies, and surgeries, while ensuring client and patient details are correctly documented.
  • Communicate with clients regarding hospital policies, payment information, and the nature of veterinary procedures.
  • Educate pet owners on pre-appointment requirements, aftercare instructions, and general animal health tips.
Patient Intake & Record Management:
  • Accurately collect patient history and update records in our practice management system.
  • Ensure that all patient and client data is up-to-date and properly recorded for veterinary staff reference.
  • Work with the veterinary team to ensure that patient files are organized and prepared for upcoming appointments.
Billing & Payment Processing:
  • Process payments for services and procedures, ensuring that invoices are clear and accurate.
  • Handle client billing inquiries and assist with submitting insurance claims as needed.
Hospital Coordination & Team Support:
  • Prepare patient charts, ensure relevant medical information is readily available to the veterinary team.
  • Maintain clear and effective communication with technicians, veterinarians, and management to ensure appointments and procedures are completed on schedule.
  • Keep the front office clean and organized, assisting with the stocking of supplies when necessary.
Customer Service Excellence:
  • Provide exceptional customer service by building rapport with clients and addressing concerns in a compassionate and professional manner.
  • Handle emergency situations calmly and efficiently, ensuring pets and owners feel supported.
General Office Duties:
  • Manage various administrative tasks such as answering phones, filing paperwork, and assisting with office supply needs.
  • Uphold client confidentiality in accordance with HIPAA regulations.

Preferred Qualifications
  • Experience:
    • Previous experience in a hospital or veterinary setting is required; veterinary hospital experience is highly preferred.
    • Familiarity with veterinary practice management software (e.g., Avimark, eVet, or similar systems) is a plus.
  • Customer Service Skills:

    • Excellent communication skills, both in person and over the phone, with the ability to convey information clearly and professionally.
    • Ability to handle challenging situations with tact, empathy, and professionalism.
  • Organizational & Time Management Skills:
    • Strong organizational skills with the ability to manage a busy office environment while maintaining attention to detail.
    • Ability to multitask and prioritize effectively in a fast-paced setting.
  • Availability & Flexibility:
    • Must be available to work Monday-Friday, 7:30 AM – 5:30 PM, and rotating Saturdays (8:00 AM – 12:00 PM). Saturday shifts require arrival by 7:45 AM.
    • Flexibility to work extra hours or weekends when needed.
  • Team-Oriented Attitude:
    • Positive attitude, with a collaborative mindset and a willingness to assist other team members as needed.
    • Ability to thrive in a busy clinic environment, maintaining professionalism while managing multiple tasks.
  • Physical Demands:
    • Ability to stand, sit, or walk for long periods and lift up to 25 pounds when necessary.

  • Tech-Savvy: Comfortable using office software, veterinary practice management systems, and troubleshooting office equipment.
