What is a Veterinary Customer Service Representative?

A Veterinary Customer Service Representative (CSR) is the first point of contact at a veterinary clinic, responsible for greeting clients, scheduling appointments, answering phones, and handling billing or administrative tasks. They play a crucial role in ensuring clients and their pets have a positive experience by providing information, addressing concerns, and facilitating communication between pet owners and veterinary staff. CSRs must have excellent communication and organizational skills, as well as a compassionate attitude towards animals and their owners.

What are the key skills and qualifications needed to thrive as a Veterinary Customer Service Representative, and why are they important?

To thrive as a Veterinary Customer Service Representative, you need strong communication skills, attention to detail, and a high school diploma or equivalent. Familiarity with veterinary practice management software, scheduling systems, and payment processing tools is typically required. Compassion, patience, and problem-solving abilities help you provide empathetic support to pet owners and work effectively with veterinary teams. These skills ensure smooth clinic operations, positive client experiences, and accurate coordination between clients and veterinary staff.

How does a Veterinary Customer Service Representative typically collaborate with veterinary technicians and doctors during a busy clinic day?

Veterinary Customer Service Representatives (CSRs) play a critical liaison role, often acting as the first point of contact for clients and coordinating communication between pet owners and the clinical team. During busy days, CSRs work closely with veterinary technicians and doctors to ensure appointment schedules run smoothly, relay patient information accurately, and manage urgent requests efficiently. They also help clarify client questions, facilitate prescription refills, and assist with billing or follow-up calls. Effective teamwork and clear communication are essential to providing excellent care and a positive experience for both clients and their pets.

This role is perfect for someone who thrives in a fast-paced environment, loves helping others, and wants to make a real difference in the lives of pets and their families.
โ™ฅ What You'll Do
As the first point of contact for our clients, you'll play a critical role in creating an exceptional experience from the moment they call or walk through our doors.
Your responsibilities will include:
  • Greeting clients and their pets with warmth, compassion, and professionalism
  • Answering phones, responding to client inquiries, and scheduling appointments efficiently
  • Checking patients in and out while ensuring all information is accurate and up to date
  • Processing payments, invoices, estimates, and maintaining accurate client records
  • Providing clear, supportive communication during both routine visits and emotional situations
  • Educating clients on clinic policies, services, preventive care, and appointment preparation
  • Coordinating with veterinarians and technicians to ensure smooth patient flow throughout the day
  • Managing multiple priorities while maintaining a calm and positive demeanor
  • Assisting with prescription refill requests and routing medical questions appropriately
  • Helping create and maintain a Fear Freeยฎ, low-stress environment for pets and their owners throughout every visit
  • Helping keep the reception area clean, organized, and welcoming for clients and their pets
  • Following up with clients regarding appointments, reminders, and patient care needs
  • Supporting the overall success of the hospital by being a dependable and collaborative team member

Every interaction matters. Whether you're celebrating a new puppy's first visit, comforting a worried pet owner, or helping a family navigate a difficult decision, you'll have the opportunity to make a meaningful impact each day.
You'll play a huge role in shaping each client's experience-and we truly value that.
Our Commitment to Fear Free Care
We are proud to be a Fear Freeยฎ Certified Practice, dedicated to reducing fear, anxiety, and stress for every pet who visits our hospital.
As a Customer Service Representative, you'll play an important role in creating a calm, welcoming experience from the very first interaction. From greeting nervous pets and their families to helping maintain a low-stress environment throughout their visit, you'll be part of a team that prioritizes both emotional well-being and medical care.
We believe veterinary visits should be as positive as possible for pets, clients, and team members alike. If you're passionate about compassionate care and enjoy helping others feel comfortable and supported, you'll fit right in with our team.
We're Looking for Someone Who
  • Has a genuine love for animals and the people who love them
  • Brings positive energy and compassion to every interaction
  • Communicates clearly, professionally, and kindly
  • Stays calm and solution-focused in busy or emotional situations
  • Enjoys multitasking and staying organized in a fast-paced environment
  • Is comfortable using computers, scheduling software, and handling administrative tasks
  • Works well both independently and as part of a team
  • Appreciates and supports our Fear Freeยฎ philosophy and commitment to creating low-stress experiences for pets and their families
  • Has previous veterinary, medical, hospitality, or customer service experience (preferred, but the right personality goes a long way!)
  • Is eager to learn and committed to providing outstanding client service
What You'll Get
  • A supportive, team-focused work environment
  • Competitive pay and benefits
  • Opportunities for growth and development
  • Health, dental, and vision insurance on Day 1 of employment
  • Paid time off (PTO) because we truly believe in a Treat Yourself mentality
  • Uniform allowance
  • 401(k) with company match
  • Employee pet care discounts
  • Continuing education and professional development opportunities
  • Daily puppy kisses and kitty cuddles (the best perk!)

If you're ready to be part of a team that truly cares-about pets, clients, and each other-we can't wait to hear from you.
Apply today and help us make tails wag every day!
