Job Summary:

The Project Management Assistant (PMA) directly supports Project Management through COLLABORATION with Klover Project Management, other Klover departments to CONSISTENTLY DELIVER EXCEPTIONAL RESULTS by performing responsibilities (but not limited to) tasks listed below with A PASSION FOR EXCELLENCE and A POSITIVE ATTITUDE.
Routine Responsibilities:
Issue purchase orders for materials as directed by Klover Project Manager (PM) or Site Leader
Schedule Delivery / Pick Up of Rental Equipment
Enter job costs to and distribute to specific project cost codes within Foundation Software
Process material packing slips and credit card receipts with Foundation Software
Review invoices for accurate pricing and confirm receipt of materials
Enter / Distribute Subcontractor Labor costs into Foundation Software
Compile, send and track Klover Change Orders as directed by PM
Enter Change Order costs to Foundation software and update approval status
Maintain accurate "Project Tracking Logs" such as Change Order Log, Submittal Logs, Rental Equipment Tracking, Accounting Deposit Log, etc.
Generate Committed Cost Reports (CCR's) for bi-weekly budget update reviews as directed by PM
Maintain and Organize job records within digital project folders
Additional Responsibilities:
Generate, distribute and track the status of submittals as directed by Project Manger (PM)
Upload submittal documents to online platforms per project requirements
Compile documents and organize Project Field Binder for Klover Site Leader
Submit safety documents as directed by PM in collaboration with Klover Safety
Organize and maintain drawings to On-Screen Take Off (OST) Quick Bid Software as directed by PM
Issue subcontracts through DocuSign for signature and file when returned
Update project templates such as Submittal Cover Sheets,  Additional Work Directives (AWDS) Daily Field Report (DFR) for field use via Excel
Export job reports from OST / Quickbid as directed by PM
Enter/Upload project budget into Foundation Software
Activate new projects within payroll software, Timeclock Plus (TCP)
Upload cost codes and productions into TCP
Request material credits, invoice revisions and refunds as needed in collaboration with Klover A/P
Review subcontractor Certified Payroll Reports as required for Prevailing Wage projects
Issue project close out documents as directed by Project Manager

Required Education and Experience:
High School Diploma or GED
Proficiency with PCs and aptitude to learn new software
Experience with Microsoft Office (Excel, Word, SharePoint and Outlook)
Ideal but not required:
Experience in construction or material distribution related field
