Job description

Do you thrive in a dynamic environment where every day brings a new challenge? Are you a master of logistics with a passion for supporting maritime operations? We're looking for a Vessel Coordinator to ensure our vessels are expertly staffed, compliant, and ready to go.

In this vital role, you'll own the end-to-end coordination of crew operations across assigned vessels-keeping rotations running smoothly, managing credentials, and ensuring crew members have everything they need to perform at their best.

What You'll Do
  • Ensure all assigned vessels are properly staffed with qualified, credentialed crew members
  • Lead a smooth, timely onboarding process-including credentialing-for new vessel employees
  • Maintain vessel rotation plans, employee assignments, and real-time crew schedules
  • Manage schedule disruptions such as emergency leave, illness, and last-minute changes
  • Oversee vacation and time-off planning to ensure uninterrupted vessel coverage
  • Collaborate with Payroll to ensure accurate timesheets and flag special pay situations
  • Keep crew credential records up to date and ensure full regulatory compliance
  • Partner closely with Operations, Compliance, and HR to support crewing processes
  • Handle unscheduled departures and coordinate emergency or medical travel when needed
  • Prepare crew change supplies, requisitions, and vessel needs
  • Provide leadership and guidance to direct reports, including troubleshooting and performance support
  • Deliver accurate reporting to management and maintain confidential crew information
  • Support USCG MMC advancement opportunities and assist with Sea Time Letters

What You Bring

Required:

  • High School Diploma
  • Experience in maritime operations or vessel operations

Preferred:

  • 5+ years of vessel crew scheduling experience

Work Environment & Physical Expectations
  • Primarily office-based, with occasional work outdoors or near vessels
  • Ability to sit for extended periods; occasional lifting up to 15 lbs
  • Occasional stair or ladder climbing
  • Limited travel required
