Position Summary
The Customer Order & Billing Specialist plays a critical role in delivering an exceptional customer experience. This position is responsible for processing customer orders, generating invoices, reconciling billing discrepancies, and serving as a key point of contact for customers, sales representatives, and internal teams. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment.
What You'll Do
  • Enter and process a high volume of customer orders accurately and efficiently using our ERP system
  • Provide customers with product information, pricing, availability, and technical support
  • Create and process invoices and resolve billing discrepancies
  • Handle product returns and billing adjustments
  • Review purchase orders, order history, and shipping requirements to ensure accuracy
  • Respond to customer inquiries and resolve issues professionally and promptly
  • Support the outside sales team with order status, delivery information, and customer requests
  • Process payments, including cash and check transactions
  • Recommend products, solutions, and services that meet customer needs
  • Identify opportunities to improve processes and enhance the customer experience
  • Collaborate with internal teams to ensure outstanding service delivery
  • Perform other duties as assigned
What We're Looking For
  • High school diploma or GED required
  • 2-3 years of customer service experience
  • 2-3 years of billing or invoicing experience
  • Strong data entry skills with a high degree of accuracy
  • Proficiency in Microsoft Excel, Word, and Outlook
  • Excellent communication and interpersonal skills
  • Strong problem-solving and critical-thinking abilities
  • Ability to prioritize, multitask, and stay organized in a fast-paced environment
  • Strong mathematical aptitude
  • Ability to build and maintain positive customer relationships
  • Self-motivated with a strong work ethic and commitment to reliability
  • Team-oriented attitude and flexibility to support business needs
Preferred Qualifications
  • Experience working with ERP systems
  • Knowledge of wholesale, distribution, manufacturing, or industrial sales environments
  • Familiarity with invoicing, order processing, and customer account management
