Requirements

Role Summary:

We are seeking a professional Client Relations Specialist to support the Client Relations Manager in building, maintaining, and strengthening client relationships. This role helps ensure client satisfaction, loyalty, and long-term engagement by delivering responsive service, coordinating with internal teams, resolving client concerns, and executing administrative, marketing, and communication initiatives. The ideal candidate is a strong communicator who is attentive to detail, proactive, and committed to providing exceptional client experiences.


Salary Range: $52000-55000


Essential Duties and Responsibilities:

Build and maintain positive client relationships through regular, professional communication.

Serve as a primary point of contact for client inquiries, concerns, and service requests.

Respond promptly and professionally to client questions, issues, and requests.

Track, manage, and resolve client concerns to support high levels of satisfaction.

Coordinate with internal departments to ensure client needs are addressed accurately and efficiently.

Provide comprehensive administrative support to the Client Relations Manager and team members as assigned, including scheduling, calendar management, client communications, research, and responses to phone and email inquiries.

Support special projects and proactively contribute to the efficiency and success of departmental operations.

Plan and coordinate internal and external meetings and events, including scheduling, registration, communications, presentation materials, logistics, and post-event follow-up.

Oversee event operations, including venue selection, catering, audiovisual setup, registration, surveys, and on-site logistics.

Draft, proofread, and edit newsletters and other communications for print and digital channels.

Create visually compelling and well-written presentations and promotional materials for meetings, proposals, events, and other purposes.

Develop and produce an annual promotional video to support brand awareness.

Plan, produce, and distribute quarterly educational webinars for clients.

Co-manage digital communication platforms, including Mailchimp and social media accounts, while maintaining a consistent posting schedule.

Organize and maintain the company's visual asset library, including photos, videos, and graphics.

Manage inventory of branded materials and publications to ensure accuracy and availability.


Required Skills and Qualifications:

Bachelor's degree in Business Administration, Marketing, Communications, or a related field.

2-5 years of experience in client relations, marketing, or a related field.

Ability to multitask, prioritize competing deadlines, and work independently in a fast-paced environment.

High level of professionalism, integrity, accuracy, and attention to detail.

Excellent written and verbal communication skills.

Proven ability to handle sensitive and confidential information with discretion and sound judgment.

Strong collaboration skills and the ability to work effectively across diverse teams.

Understanding of client retention strategies and customer service best practices.

High proficiency in Microsoft Office Suite and Adobe Creative Suite.

Proficiency with graphic design and video production tools, particularly InDesign, After Effects, or similar software.

Experience with social media management, content management systems, and image editing tools.


Physical Requirements:

Ability to sit for prolonged periods while working at a desk and using a computer.

Ability to occasionally lift and carry items up to 30 lbs., such as marketing materials or event supplies.

Ability to stand and walk for extended periods during events or meetings.

Ability to read and prepare materials in digital and printed formats.

Ability to travel for events or meetings, as needed.
