Role Overview
The Vendor Centralization Coordinator is responsible for the accurate and timely creation and maintenance of vendor master data within the MDGS system. This role serves as a key point of contact between business requesters, suppliers, and internal stakeholders to ensure data integrity and compliance with company policies and procedures. The Vendor Master Data Specialist will be responsible for gathering required documentation from suppliers, validating data, resolving data-related issues, and proactively communicating with suppliers to ensure a smooth and efficient data management process.
Responsibilities
Vendor Master Data Creation and Maintenance
  • Create new vendor master data records in MDGS, ensuring accuracy, completeness, and compliance with data standards.
  • Maintain existing vendor master data records, updating information as needed and ensuring data integrity.
  • Deactivate or block vendor records according to company policies.

Data Validation and Quality
  • Validate vendor data against supporting documentation and internal systems.
  • Identify and resolve data quality issues, working with business requesters and suppliers to obtain accurate information.
  • Perform regular data audits to ensure data accuracy and consistency.
Purchase Order Support
  • Create/Manage the purchase order process in the SAP system, or new technologies including the creation and modification of SAP Purchase Orders, monitoring the approval process, and ensuring compliance with procurement policies (e.g., bidding, preferred suppliers).
  • Collaborate closely with stakeholders to ensure Purchase Orders are accurate and up-to-date, with complete records. Request updated or missing documentation as needed.
  • Conduct periodic analysis of purchase order data to ensure compliance with procurement policies.
  • Escalate instances of non-compliance as appropriate.
  • Assist in the annual vendor review process.

Supplier Communication and Onboarding
  • Act as the primary point of contact for suppliers regarding master data requirements.
  • Communicate data requirements to suppliers and provide guidance on the data submission process.
  • Collect and review required documentation from suppliers, such as banking information, tax forms, and compliance certifications.
  • Support the supplier onboarding process by ensuring accurate and complete vendor master data.
Collaboration and Communication
  • Liaise with business requesters to understand their vendor master data needs and requirements.
  • Collaborate with internal stakeholders, such as procurement, finance, and legal, to ensure compliance with company policies and regulations.
  • Communicate effectively with suppliers to resolve data-related issues and obtain necessary information.

Problem Solving and Issue Resolution
  • Proactively identify and resolve vendor master data issues, working directly with suppliers to find solutions.
  • Investigate and troubleshoot data discrepancies, collaborating with internal teams and suppliers as needed.
  • Escalate complex issues to the appropriate stakeholders for resolution.

Compliance and Documentation
  • Ensure compliance with company policies, procedures, and regulatory requirements related to vendor master data.
  • Maintain accurate and up-to-date documentation of vendor master data processes and procedures.
  • Support internal and external audits by providing requested documentation and information.

System and Process Improvement
  • Identify opportunities to improve vendor master data processes and systems.
  • Participate in projects to implement new features or enhancements to the MDGS system.
  • Contribute to the development of data standards and guidelines.

Qualifications
Education:
  • Bachelor's degree in [relevant field, e.g., Business Administration, Supply Chain Management, Finance] or equivalent experience
  • 2-3 years of experience in vendor master data management, procurement, or a related field preferred.
  • Experience working with MDGS or other master data management systems.
Technical Skills:
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Experience with data analysis and reporting tools.
  • Familiarity with ERP systems (e.g., SAP, Oracle) is a plus.
Soft Skills:
  • Excellent communication and interpersonal skills, with the ability to effectively communicate with suppliers and internal stakeholders at all levels.
  • Strong problem-solving and analytical skills, with the ability to identify and resolve data-related issues independently.
