Dental VA Community Care Representative

Location: Jacksonville, FL

About the Position

We are seeking a highly organized, detail-oriented Dental VA Community Care Representative to join our team and serve as the primary point of contact for our Veterans receiving dental care through the VA Community Care program.

This position is responsible for coordinating the administrative process between our dental practices, Veterans, and the Department of Veterans Affairs. The ideal candidate understands the importance of timely communication, accurate documentation, authorization management, and providing Veterans with an exceptional experience from referral through completion of care.

Key Responsibilities
  • Manage VA Community Care dental referrals from receipt through completion of treatment.

  • Review VA referrals and authorizations for accuracy, including approved services and limitations.

  • Submit and track VA pre-authorizations and requests through the appropriate VA Community Care systems.

  • Monitor authorization status and follow up on pending requests to prevent delays in patient care.

  • Coordinate with clinical and front-office teams to ensure treatment is completed within the authorized timeframe.

  • Verify that treatment being scheduled and performed is consistent with the patient's VA authorization.

  • Maintain accurate documentation of referrals, authorizations, correspondence, and treatment status.

  • Communicate with VA representatives regarding authorization questions, treatment changes, extensions, and additional services.

  • Contact Veterans regarding appointments, treatment status, required documentation, and authorization updates.

  • Identify authorization issues before treatment is performed to help prevent claim denials and lost revenue.

  • Assist with VA claims and resolve issues related to authorization, documentation, or treatment discrepancies.

  • Follow up on outstanding VA accounts and assist with resolving unpaid or delayed claims.

  • Work closely with doctors, treatment coordinators, scheduling teams, and billing staff.

  • Maintain confidentiality and comply with all applicable privacy and regulatory requirements.

  • Provide professional, compassionate service to every Veteran and ensure they understand the next steps in their care.

What We're Looking For
  • Previous experience with VA Community Care, VA dental benefits, or healthcare authorizations strongly preferred.

  • Dental office, dental insurance, treatment coordination, or medical referral experience preferred.

  • Strong understanding of insurance verification, authorizations, referrals, and claims.

  • Exceptional attention to detail and ability to identify discrepancies in documentation.

  • Strong organizational and time-management skills.

  • Ability to manage multiple referrals and authorizations simultaneously while meeting deadlines.
