Job description

The administrative assistant role supports the maintenance/facilities department.
JOB RESPONSIBILITIES:
  • Responsible for the efficient operation of office procedures within the maintenance/facilities department.
  • Provides administrative support to the appropriate supervisor/manager.
  • Prepare reports as required, including collecting and documenting information for annual CAFO and DNREC reports.
  • Track and document all purchases within the department and ensure budgetary compliance.
  • Coordinates and disseminates communication and correspondence.
  • Assures accurate files and record keeping. Maintains record retention policies and procedures.
  • Responsible for weekly timekeeping, schedule verification, and processing for team members in the corresponding department.
  • Coordinate and monitor inventory management.
  • Responsible for initiating the necessary documentation for status changes and information updates for team members in the corresponding department.
  • Maintain professionalism at all times when working with and responding to team members and/or guests.
  • Able to communicate (both written and verbal) with all team members and levels of management.
  • Attends and records minutes for all meetings as requested.
  • Coordinates and inputs requisitions for purchasing and accounting.
  • Perform other related duties as required
JOB REQUIREMENTS:
One (1) to Three (3) years of administrative experience.
  • Must be proficient in the use of Microsoft Excel & Microsoft Word Applications.
  • Must have strong organizational skills; accounting background preferred.
  • Attention to detail and accuracy required.
  • Ability to work in a fast-paced environment and effectively communicate with team members, management, and guests is mandatory.
  • Must be able to handle all types of team member/guest-related situations; relay all team member compliments and complaints to department management.             
  • Must be able to stand, sit, walk, and bend for extended periods of time without difficulty.
  • Must be able to work a flexible schedule based on business needs, which includes days, evenings, nights, weekends, and holidays.
