General Description:
Under the supervision of the Supervisor of University Mail Services, the Mail Services Clerk/Carrier is responsible for managing mail operations at two locations, providing customer service, and ensuring accurate processing and delivery of mail and packages. Duties include operating the customer service area, handling mail pickups and deliveries, selling stamps and supplies, processing metered mail and shipping packages, and maintaining accurate records.
Salary Range: $32,000 - $34,000Schedule: 30 hours per week; Monday through Friday 9:00am to 4:00pm, with 1-hour unpaid lunchReports to: Supervisor of Mail Services
Essential Functions:
  • Pickup and deliver mail and packages from the Forest Grove and Hillsboro post offices.
  • Work flexibly between two office locations.
  • Load and unload mail and packages.
  • Sort and distribute incoming campus mail and packages.
  • Deliver mail and packages to Forest Grove and Hillsboro campuses.
  • Provide shuttle services for university business and confidential items between campuses.
  • Meter and process outgoing USPS mail and packages.
  • Generate daily and monthly meter reports.
  • Process FedEx and UPS online shipping services.
  • Utilize appropriate mail codes for accounting.
  • Monitor office equipment and inventory, and notify supervisor of needed services.
  • Manage meter machine postage account and request funds as needed.
  • Assist with mail services operations, including customer service.
  • Sell stamps, supplies, and process letters and packages.
  • Manage cash register inventory, purchase stamps, and perform weekly deposits.
  • Conduct semi-annual cash register audit report.
  • Maintain database with SMART System.
  • Support mailbox assignment and student mail forwarding processes.
  • Answer phones and stay current on office technology demands.
  • Support student key inventory process.
  • Maintain accurate records and provide excellent customer service.

Secondary Functions:
  • Perform related duties as assigned.
  • Assist with processing marketing mailings.
  • Perform mail lookup for unidentified mail.
  • Stay current on USPS, UPS, and FedEx shipping regulations.
  • Provide backup support for other mail services positions.
  • Ability to work weekends, holidays, and overtime as needed.

Job Scope:
Perform routine work to provide mailing services to the university community, including selling stamps and supplies, sorting and distributing mail and packages, and assisting with express shipments.
Education and/or Experience:
  • High school graduate or equivalent.
  • Able to lift 50 lbs. frequently and 150 lbs. occasionally.
  • Ability to coordinate, organize, and prioritize multiple tasks.
  • Proficient with Microsoft Word, Excel, and file management software.
  • Experience with mailing equipment (postage meter, printer, etc.).
  • Preferred experience in office and shipping services with UPS, FedEx, and USPS.
  • Basic understanding of material handling (shipping, receiving, inventory control).
  • Experience working in a fast-paced, multi-faceted environment.
  • Self-motivated and able to work with minimal supervision.
  • Ability to handle confidential information and difficult situations calmly.
  • Valid Oregon Driver's License.
  • Must pass the insurance approval process and complete University's Driver Training Program.
  • 3-5 years of shipping experience with UPS, FedEx, and USPS.
