JOB SUMMARY

Under the direction of the Operations Manager, the Operations Assistant supports various departments with clerical, administrative, and mail-processing tasks. Responsibilities include filing, mailing, printing, photocopying, coordinating shipments, and assisting with print production workflows. The Operations Assistant will schedule, route, organize, and archive assigned print production projects, ensuring they are completed on time while maintaining accurate tracking in the production database.

ESSENTIAL DUTIES & RESPONSIBILITIES

1. Perform a wide range of administrative and planning duties, including filing, ordering office supplies, preparing letters, reports, and other materials. Consult with internal teams regarding printing, mailing, or related service needs.

2. Manage all aspects of mail collection and delivery, including:

o Picking up and delivering mail to and from the post office when needed

o Coordinating incoming mail receipts and sorting mail using computer-based software

o Delivering and collecting interoffice mail

o Preparing outgoing mail with appropriate postage

o Processing certified letters and packages following USPS requirements

3. Maintain records of departmental postage usage and provide billing information to Finance.

4. May be asked to draft and prepare business correspondence on behalf of supervisors, managers, and other professionals.

5. Assist with maintenance, troubleshooting, and basic upkeep of printing equipment.

6. Track and confirm mail delivery statuses using online tools as needed.

7. Posting premium payments and helping maintain accurate records of payments received.

8. Review e-sign policies to confirm applications are received and complete.

9. Stamp, scan, and mail claim and premium checks, and process special handling requests—such as Priority, Overnight, and international mailings.

10. May be asked to drive for mail pickups, deliveries, or other transportation needs, including loading or unloading packages.

11. May be asked to assist with additional office tasks such as reception coverage, special projects, supply inventory, or light facilities support.

12. Perform other duties as assigned.
