OVERVIEW:

Are you highly organized, detail-oriented, and comfortable keeping multiple pieces of work moving at the same time? Can you help teams and stakeholders stay aligned through clear project information, timelines, follow-ups, and status visibility?

The Project Coordinator is an individual contributor role within the User Experience (UX) team at Alberta Blue Cross. UX is responsible for supporting the experience layer across key digital touchpoints.

Reporting to the UX Team Manager, you will support intake, progress tracking, documentation, stakeholder follow-ups, and coordination across active and upcoming work.

Your work will help the team stay organized, informed, and ready to deliver clear, accessible, and effective user experiences for Albertans.

WHAT YOU WILL DO:

  • Support the intake process by reviewing requests, gathering missing details, and clarifying project needs with requestors, leadership, and team members.

  • Maintain accurate project information, including project records, task lists, workback schedules, status notes, blockers, dependencies, decisions, and next steps.

  • Use project management tools and team practices to keep team members, requestors, and delivery partners aligned on project status, risks, outstanding items, and upcoming work.

  • Prepare and share status updates to support team planning, stakeholder communication, and escalation of unresolved issues.

  • Coordinate meetings, working sessions, reviews, reminders, and follow-ups to support project progress.

  • Document decisions, feedback, approvals, action items, open questions, and next steps.

  • Support workload and resourcing visibility by identifying scheduling conflicts, competing timelines, blockers, and potential capacity concerns.

  • Help identify recurring gaps, bottlenecks, unclear handoffs, or missing information patterns and escalate them to support workflow improvements.

WHAT YOU WILL HAVE:

  • 2 to 3 years of experience in project coordination, administrative coordination, operations support, delivery coordination, or a similar role supporting cross-functional teams, timelines, documentation, and stakeholder follow-up.

  • Experience coordinating multiple pieces of work at the same time, including tracking tasks, timelines, decisions, blockers, dependencies, and follow-ups.

  • Experience working with internal stakeholders to gather information, clarify requests, confirm requirements, and support progress toward agreed timelines.

  • Experience maintaining project information in a project management, workflow, ticketing, or collaboration tool, including status updates, action items, or other documentation.

  • Strong organizational skills, attention to detail, and ability to keep information accurate and current.

  • Strong written and verbal communication skills, including the ability to follow up clearly and professionally with team members and stakeholders.

  • Proficiency with Microsoft Office tools, including Outlook, Word, Excel, PowerPoint, and Teams.

  • Experience with project management or collaboration tools such as Monday.com, Jira, Confluence, SharePoint, or similar tools would be considered an asset.

  • Partner with team members, requestors, business stakeholders, and delivery partners to support the coordination of UX work.

  • Work within established intake, project tracking, documentation, and escalation processes.

  • Keep project information organized, visible, and up to date so teams can understand status, risks, dependencies, and next steps.
