Position Overview
USA Triathlon (USAT) is seeking a highly organized, strategic, and detail-oriented Marketing Operations Manager to lead the operational execution and continuous improvement of the organization's marketing and communications function. This role is responsible for overseeing marketing operations, project management workflow optimization and cross-functional coordination across the department, ensuring projects are delivered on time, within scope, and to the highest quality standards.
The ideal candidate is both strategic and solutions-oriented-able to anticipate needs, balance competing priorities, and keep projects aligned with organizational goals. They are confident and direct while leading with integrity and positive intent, advocate for themselves and the business, and thrive on collaboration. This role requires an excellent communicator who can bring people together, resolve challenges quickly, and create clarity in a fast-paced environment.
Key Responsibilities
  • Marketing Operations and Workflow Project Management: Own and optimize the marketing intake, prioritization, and project management processes, ensuring campaigns and initiatives are delivered on time, within scope, and aligned with organizational priorities.
  • Resource & Capacity Planning: Manage team workload, allocate resources based on priorities and capacity, and provide visibility into upcoming demand to maximize efficiency and team performance
  • Marketing Performance Measurement & Reporting: Develop and maintain operational dashboards and performance reporting, tracking key marketing metrics such as campaign delivery, email engagement, social performance, web traffic, project throughput, SLA adherence, and resource utilization to provide actionable insights for leadership.
  • Communication & Collaboration: Act as the central liaison between marketing and other departments including Events, Membership, TeamUSA, USATri and Technology as well as creative, production, and client-facing teams. Communicate Marketing results and metrics to internal teams clearly, confidently, and proactively at all levels.
  • Cross-Functional Deliverable Management: Serve as the primary coordinator for marketing-dependent deliverables owned by other departments and external partners, proactively tracking progress, resolving roadblocks, and escalating risks to ensure campaigns and initiatives remain on schedule.
  • Strategic Thinking: Anticipate potential issues, risks, and needs, proposing solutions that keep projects moving forward and aligned with organizational goals.
  • Marketing Technology Administration: Manage and optimize marketing work management and collaboration platforms, driving adoption, data accuracy, and process consistency across the department.
  • Risk Management & Problem Resolution: Identify potential project risks, resource constraints, and operational bottlenecks early, implementing solutions and facilitating cross-functional collaboration to maintain momentum and delivery timelines.

Requirements
Qualifications
  • Bachelor's degree in Marketing, Communications, Project Management, or related field (or equivalent experience).
  • 3+ years of experience in marketing operations, project management or traffic management, ideally within an agency or fast-paced marketing environment.
  • Proven ability to think strategically and anticipate needs or challenges in a dynamic environment.
  • Confident and direct communicator who advocates for themselves and the business while leading with integrity and positive intent.
  • Strong collaboration skills with the ability to build trust and alignment across teams and stakeholders.
  • Exceptional organizational skills with the ability to manage multiple projects and priorities simultaneously.
  • Proficiency in project management tools (e.g., Asana, Trello, Wrike, or similar).
  • Detail-oriented with a strong focus on process, accuracy, and quality.

Working Conditions and Physical Requirements
  • USA Triathlon offers a hybrid work schedule and requires this position to be on site at USAT headquarters in Colorado Springs, CO at least two days per week
  • While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, and keyboard. The employee may be required to exert force to manipulate or move items weighing up to 30 pounds.
