Job description

We are seeking a professional and highly organized Senior Service Specialist to manage day to day operations at our clients' downtown Denver office. In this pivotal role, you will ensure smooth office operations by providing various administrative support such copy, print, mail, hospitality, facilities, IT/AV support and receptionist services. Schedule: Monday - Friday
Reprographics
  • Perform black/white and color copies.
  • Print files.
  • Perform finishing and binding services upon request.
  • Conduct quality control checks on all projects before client delivery.
  • Coordinate overflow production.
  • Perform scanning services including bookmarking, coding, indexing and endorsing.
  • Track volume activity for monthly reporting.

Records Management
  • Organize Records Areas and prep for scanning activities.
  • Manage records in accordance with Offit Kurman records retention policy.
  • Assist with new file creation.
  • Assist with the check in and check out of files.
  • Process box submission, retrieval, and returns.
  • Records imaging including document preparation, scanning, and reassembly.
  • Support the processing of lateral hire files.
  • Support the collection of files for exiting attorneys.
  • Coordination of document destruction.
  • Manage the shred bins in the office, coordinating emptying with a third-party service.
  • Clean and organize Records rooms and designated areas.

Mail Services
  • Daily processing of all incoming and outgoing mail, packages, and freight including but not limited to shipments received from USPS, FedEx, UPS, couriers, and freight carriers.
  • Oversee all overnight/Fed Ex deliveries including USPS postal mail.
  • Perform mail scanning and routing of images to the correct folder or email address.
  • Provide messenger coordination with a third-party service to complete any such local delivery or court run.
  • Receive, sort, (scan if applicable) and distribute incoming USPS mail and accountable packages,
    ensuring that all inbound packages are logged, tracked, and signed for by the Company end-user upon receipt.
  • Provide assistance with shipping outbound mail and packages, including packing, rate shopping, and tracking.
  • Coordinating carrier pickup and shipment monitoring to address and resolve delays whenever possible.

Supply Management
  • Establish Par levels for all supplies.
  • Manage supplies inventory and ordering.
  • Organize office supply areas in all copy rooms throughout the firm.
  • Establish a centralized supply area to streamline supply management process.

Pantry Services Maintenance, Food & Beverage Management - Daily Responsibilities
  • Keep pantry area including clean organized and stocked.
  • Track supply orders and inventory necessary for pantries.
  • Perform daily kitchen cleaning, maintain kitchen supply inventory, stock shelves and refrigerators, make coffee and fill/empty dishwashers.
  • Keep food & beverage display items in impeccable condition.
  • Unload and distribute/arrange daily food deliveries in pantry areas. Continually consolidating, storing, and disposing expired perishables.
  • Regular stocking of snacks.
  • Assist Reception with food orders and conference set-ups for meetings.

Facilities Management
  • Maintain a high standard of cleanliness and order throughout the office.
  • Set up and break down conference rooms and other workspaces for meetings.
  • Assist with the installation and movement of office furniture.
  • Collaborate with vendors and the building for maintenance requests.
  • Provide sweeps of conference rooms and meeting areas to refresh supplies, snacks, and beverages and maintain neat and tidy appearance.
  • Oversee the upkeep of the copier rooms, including first level maintenance (clearing jams, stocking paper, and replacing toner and fuser).
  • New employee desk set up (supplies, name plate, badges, etc).
  • Refill copier and printer paper trays located throughout the firm.
  • Perform first level triage of convenience copiers.
  • Post signage by convenience copiers identifying malfunctions and corresponding service calls.
  • Assist with employee office moves.
  • Vendor management and coordination.

IT-Lite
  • Set up, test, operate, and maintain audio visual equipment for meetings.
  • Coordinate and provide technical support for meetings, presentations, and events.
  • Troubleshooting technical issues with audio visual equipment.
  • Collaborating with Help Desk team for office specific hardware and connectivity support.

Reception
  • Be able to correct type written drafts of documents must have the ability to write clearly using correct grammar, punctuation spelling, etc.,
  • Be able to perform the miscellaneous duties assigned to Reception.
  • Be able to greet all visitors and answer all phone politely, professionally, and quickly addressing their inquiries.
  • Will create positive first impressions, consistent meet and greet experiences in line with Firm's brand.
  • Must present a professional demeanor, handle pressure well and be able to maintain a neat and orderly workspace.
  • Must have excellent verbal communication skills and must have excellent telephone skills.
  • Must be able to work closely and interact with all attorneys, staff members and client representatives.

The Compensation range for this role is 25.00 to 29.00 USD per hour and may be eligible for an annual bonus. Actual compensation within that range will be dependent upon the individual's location, skills, experience and qualifications.
