Position Summary:
JAN-PRO of Las Vegas is seeking a bilingual Administrative & Franchise Sales Coordinator to support front-office operations, assist Certified Business Owners (CBOs), and provide administrative support throughout the franchise candidate process. This role is a key point of contact for incoming inquiries and ensures accurate data management, strong communication, and a professional, compliant experience for all candidates and CBOs. This is a frontline support role for someone who thrives in a structured environment, manages details exceptionally well, and communicates with clarity and professionalism.
Key Responsibilities:
Administrative & Front Office Support
  • Answer incoming calls, route inquiries, and deliver professional bilingual customer service.
  • Support daily office operations including scheduling, filing, scanning, document preparation, and maintaining organized systems.
  • Manage calendars, coordinate appointments, and prepare office materials for meetings and trainings.
  • Provide administrative support to leadership as needed.

Data Management & Process Support
  • Maintain accurate and up-to-date records in CRM systems and internal databases.
  • Complete data entry for franchise leads, CBO documentation, onboarding forms, and compliance materials.
  • Track lead activity, follow-up schedules, and process milestones for candidates and CBOs.
  • Ensure documentation is complete, compliant, and properly organized.

Certified Business Owner (CBO) Assistance
  • Assist CBOs with completing required documents, onboarding paperwork, and scheduling trainings.
  • Provide bilingual support to ensure CBOs clearly understand processes, expectations, and compliance requirements.
  • Coordinate communication between CBOs, operations, and leadership teams.

Franchise Sales Administrative Support
  • Schedule discovery calls, schedule and administer franchise presentations (in-person) and candidate follow-ups.
  • Prepare FDD documents, sales packets, and presentation materials in accordance with compliance requirements.
  • Maintain accurate candidate files and track all disclosure timelines.
  • Support candidate visits and ensure a consistent, high-quality experience from initial inquiry to franchise sale.
  • Prepare and send Franchise Business Fulfillment Letters to CBOs, ensuring accuracy and timely delivery.

Candidate & Brand Experience
  • Serve as a trusted, professional first point of contact for candidates and CBOs.
  • Represent the JAN-PRO brand with clarity, integrity, and strong communication.
  • Ensure every interaction-phone, email, or in-person-delivers a high-quality, organized experience.

Required Qualifications
  • Bilingual (English & Spanish) - required
  • Experience in administrative support, customer service, or office coordination
  • Strong organization, follow-through, and attention to detail
  • Excellent written and verbal communication skills
  • Proficiency with CRM systems, Microsoft Office, and basic data entry
  • Ability to multitask and manage competing priorities in a fast-paced environment

Preferred Qualifications
  • Experience supporting sales teams, franchise operations, or regulated processes
  • Familiarity with FDDs, compliance paperwork, or business licensing
  • Experience working with entrepreneurs, owner-operators, or small business clients
