Organization:

United Food and Commercial Workers International Union (UFCW) is North America’s neighborhood union; standing together to improve the lives and livelihoods of workers, families and communities. Our members work primarily in the retail food, meatpacking, poultry, food processing and manufacturing and retail store industries.

Itasca, Illinois (on-site)

Position Description:

The Region Office Secretary performs the clerical secretarial, administrative and business detail for the

Region Director, and Executive Assistant.


ESSENTIAL DUTIES AND RESPONSIBILITIES

Include the following. Other duties may be assigned. This list is not exhaustive and may be supplemented.

Duties include, but are not limited to, typing, preparing and submitting expense vouchers, reviewing and

submitting regional staff expense vouchers and weekly written reports, opening and distributing mail,

preparing outgoing mail and UPS material, preparing outgoing faxes and distributing all incoming faxes,

composing correspondence, scheduling appointments, arranging travel schedules, answering telephone

calls and filing.


Functions as administrator for office attendance records and leave balances, extended sick leave records

and vacation requests. Performs time and attendance data entry. Forwards weekly attendance reports

to the International.


Prepares and tracks strike and boycott subsidies for local unions and maintains monthly Strike and

Boycott Report.


Records local union organizing campaigns wins and losses. Updates Organizing Department

Information Network (ODIN) computer programs. Prepares organizing literature and handbills.

Maintains current and expired contract files, prepares and sends out correspondence requesting new

contracts and updates quarterly contract reports.


Maintains trust documents and prepares and sends out correspondence requesting information on trust

funds. Executes administrative aspects of seminars and large meetings.


Orders office supplies, prepares office billings for payment and maintains records for office billings and

accounts. Maintains yearly maintenance agreements and keeps office equipment in working order.

The Region Office Secretary also shares limited duties of the Secretary to the Director.


Protects region office operations by processing and maintaining sensitive and confidential

communications including, but not limited to, personnel matters, labor relations matters, and financial

matters.


QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty

satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability

Education and/or Experience

This position requires previous secretarial work experience. Experience and knowledge of the UFCW’s

structure, policies, and procedures is desired.


Secretarial Skills

Shorthand or fast notes ability is required. Keyboarding: 65 WPM

Computer/Software Skills

Ability use MS Word and Excel to create and properly finalize documents related to duties and

responsibilities is required. Ability to accurately maintain databases is required. Must be willing to

acquire new software skills.


Communication Skills

Ability to professionally compose correspondence using proper grammar and sentence structure is

required. Ability to read and interpret documents, policy and procedure manuals, and the ability to

communicate them to others. Excellent telephone skills in handling members, local unions and the

general public and be able to assist or refer them to the proper office or individua

This is an exempt position under the Fair Labor Standards Act (FLSA).

COMPENSATION

Salary Range: $55,500 – $64,478.
